Job Title: Assistant HR Manager – HR Operations, Payroll, Attendance & HRIS Management

Location: Versova – Mumbai (Head Office)
Company: Ageless Clinic Pvt. Ltd. & Group Companies
CTC: ₹35,000 – ₹60,000 per month
Working Days: Monday to Saturday
Working Hours: 10:00 AM – 7:00 PM
Experience Required: 5–8 Years in Day-to-Day HR Operations
Preferred Industries: MSME, Manufacturing, Distribution, Services, Healthcare, Retail, Trading

Job Overview

We are looking for a highly capable and detail-oriented Assistant HR Manager to manage HR Operations across Ageless Clinic Pvt. Ltd. and its Group Companies. This role requires strong hands-on expertise in Payroll, Attendance, HR Operations, HRIS/HR software (preferably KEKA), Compliance Management, Documentation, and Employee Relations.

The ideal candidate will ensure smooth HR functioning across multiple locations, maintain statutory compliance, and support the management team in strengthening organizational culture.

Professional Summary

A results-driven HR professional with 5–8 years of experience in HR Operations, Payroll Processing, Attendance & Leave Management, HRIS Administration, and Compliance. Demonstrated ability in managing end-to-end HR processes, maintaining employee data accuracy, and ensuring statutory compliance. Proficient in HR software systems like KEKA, documentation, employee engagement, and supporting performance management cycles.

Key Responsibilities

1. HR Operations & Statutory Compliance

  • Oversee end-to-end HR operations for multiple clinics and offices.
  • Maintain accurate and updated employee records, personnel files, and HR documentation.
  • Ensure compliance with applicable labor laws and company policies.
  • Coordinate PF, ESIC, Gratuity, PT, LWF, Bonus, and other statutory processes.
  • Prepare HR MIS Reports, dashboards, audits, and compliance documentation.

2. Payroll & Attendance Management

  • Manage complete payroll processing for all group companies through KEKA HR Software.

-Validate salary inputs, incentives, reimbursements, deductions, arrears, and recovery statements.

  • Track attendance, biometric reports, shifts, and leave management across all locations.
  • Reconcile monthly payroll outputs and coordinate with the finance team for salary disbursement.

3. Onboarding & Exit Formalities

  • Manage full-cycle onboarding including offer letters, induction, document verification, and background checks.
  • Create employee ID cards, system logins, and KEKA HRIS onboarding workflows.
  • Conduct exit interviews, manage resignations, and execute full & final settlements.
  • Maintain onboarding & separation compliance as per internal & statutory standards.

4. Employee Relations & Engagement

  • Conduct regular clinic/office visits to understand ground-level concerns.

-Handle employee grievances, conflict resolution, and disciplinary actions.

  • Support employee welfare, engagement programs, and culture-building initiatives.
  • Assist management in implementing policies, SOPs, and HR process improvements.

5. Performance Management & KPI Tracking

  • Support the leadership team in defining KPIs and performance scorecards.
  • Coordinate mid-year and annual appraisal cycles through KEKA or designated tools.
  • Maintain performance-related records and assist in preparing evaluation summaries.

6. Documentation, Letters & HR Reporting

  • Draft and manage employment contracts, appointment letters, confirmation letters, warnings, and policy documents.
  • Maintain audit-ready HR records for internal and external audits.
  • Generate HR MIS reports: attendance, attrition, payroll, manpower strength, and compliance summaries.

Professional Experience (Must Have)

  • Hands-on experience in HR Operations, Payroll, Attendance & HRIS Administration.
  • Full-cycle recruitment & onboarding support.
  • Management of statutory compliance and labor law documentation.
  • Handling employee grievances, warnings, and disciplinary procedures.
  • Experience managing HR processes across multiple branches or locations.
  • Knowledge of HRIS systems (KEKA preferred).
  • Ability to manage confidential information with integrity.

Education

  • Diploma or Bachelor’s degree in Human Resources, Business Administration, or similar field.
  • Candidates from any industry with proven HR operations experience are welcome.
