Plans and executes a sales strategy to solicit sponsorship funding for Convention and Visitors Bureau (CVB) assets including, but not limited to, festivals and events, Grapevine Vintage Railroad, shuttles, museums, facilities, and structures, as well as brochures, publications, and other activities the CVB produces that warrant sponsorship funding. This position will also contact group and convention business within the same organizations that sponsorship is solicited and forward to the Director of Sales. This position reports to the Director of Festivals and Events.
1. Identifies and secures corporate cash sponsorships, with specific goals set annually.
2. Identifies and secures in-kind assistance in equipment, product and service, with specific goals set annually.
3. Implements direct marketing and in person sales calls to sponsorship prospects to solicit sponsorships through written and verbal methods to organizations for the purpose of developing sponsorship revenues or in-kind services.
4. Implements tele-sales prospecting efforts targeted at identifying new sponsors.
5. Develops a timeline for each festival and event for which sponsorships are to be solicited and adheres to all deadlines.
6. Builds relationships with current sponsors to maximize benefits to sponsors from their participation, such as volunteers and poster and product distribution.
7. Develops and conducts personal sales and promotion visits to potential sponsors.
8. Develops sales presentation packet and powerpoint for each festival, event, attraction and facility.
9. Develops innovative opportunities to enhance and increase sponsorships by current and former sponsors.
10. Ensures the weekly development of sales reports to include phone and personal calls made, emails, meetings, tentative sponsorships pending signature as well as signed contracts.
11. Ensures monthly development of reports recapping all sales activities to include: cash sponsors, in-kind sponsors, sales calls and prospects. Ensures, on a quarterly basis, the combined quarterly report is presented to management.
12. Develops weekly, monthly, quarterly and annual progress reports on cash and in-kind sponsorships contracted, sales calls conducted and prospects.
13. Develops quarterly reports, which reflect sponsorship status and sponsor prospects, and reviews with management.
14. Maintains close contact with contracted sponsors prior to and during all festivals, and events, which includes the timely delivery of all sponsor badges, merchandise, parking passes, etc.
15. Implements sales and promotional plans and strategies to develop meeting planner contacts to solicit for various groups, organizations, etc. for the purpose of developing potential hotel and facility users, focusing on regional, national and international markets.
16. Attends and participates in CVB festivals division meetings and hotel sales meetings.
17. Identifies and develops opportunities for merchandise sponsorships.
18. Achieve sales goals for in-kind and cash sponsorships.
19. Ensures sponsor agreements are developed with input from festival operations.
20. Ensures timely and appropriate coordination and communication with sponsors.
21. Works closely with the Festivals and Events teams to assist with sponsor set-up requirements at all events and to ensure sponsors are receiving all contracted benefits.
22. Regular and timely attendance are required for this position.
23. Interacts professionally and respectfully with the public, coworkers, and others in the course of daily work.
24.Performs related duties as directed when such duties are a logical and appropriate assignment to the position.
SKILLS, KNOWLEDGE AND ABILITIES
EDUCATION, EXPERIENCE AND OTHER REQUIREMENTS
Requires a Bachelors degree plus three years of sales experience with sponsorship and/or advertising sales and marketing or an equivalent combination of education, training, and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.
Ability to organize and coordinate sponsor contracted requirements with festivals and events, enforce policies and procedures and make mature judgements.
Flexibility and overnight travel required.
Must pass a credit check and Federal/National criminal background check. Must have a valid Texas driver's license with an acceptable driving record as defined by City policy.
Must pass a pre-employment drug screen.
