Executive Assistant

Job Summary
We are seeking a dynamic and highly organized Executive Assistant to join our team. In this vital role, you will provide comprehensive administrative support to senior leadership, ensuring smooth daily operations and effective project coordination. Responsibilities

  • Manage and maintain complex calendars, schedule meetings, and coordinate appointments using tools like Microsoft Outlook Calendar and Google Workspace.
  • Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and professionalism.
  • Organize and facilitate event planning for meetings, conferences, and company functions from start to finish.
  • Oversee office management duties including filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Handle multi-line phone systems with excellent phone etiquette, screen calls, and direct inquiries appropriately.
  • Provide executive administrative support such as managing travel arrangements, expense reports via DocuSign, and personal assistant tasks as needed.
  • Assist with project coordination by tracking deadlines, preparing agendas, taking meeting minutes, and following up on action items.
  • Maintain confidentiality of sensitive information while ensuring efficient office operations through clerical support and data management.

Experience

  • Proven experience as an executive assistant or in a similar administrative role with a minimum of several years of office management or clerical experience.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tasks.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Experience with bookkeeping software such as QuickBooks is preferred.
  • Excellent communication skills including phone etiquette, proofreading, transcription, and customer service abilities.
  • Familiarity with multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and electronic signature platforms such as DocuSign.
  • Ability to handle confidential information discreetly while managing multiple priorities efficiently.
