The Senior Executive Assistant is a full-time, in-office role responsible for supporting senior technology leaders. This role is a trusted partner who enables leaders to operate at their highest impact by managing complex schedules, coordinating priorities, and ensuring seamless day-to-day operations. The ideal candidate is highly organized, proactive, discreet, and thrives in a fast-paced, technology-driven environment.

What You’ll Do

  • Provide comprehensive administrative support to senior technology leaders, including calendar management, meeting coordination, correspondence, expense tracking, and travel arrangements.
  • Serve as a key point of contact and liaison between executives, senior stakeholders, and external vendors.
  • Coordinate and schedule meetings with vendors, internal partners, and senior stakeholders, including logistics, room setup, and catering as needed.
  • Manage and maintain executive calendars, conference rooms, and meeting materials to ensure efficient use of time and resources.
  • Support daily executive activities such as meetings, calls, and leadership forums, ensuring leaders are well-prepared and informed.
  • Handle document management, including scanning, organizing, and maintaining records in accordance with company standards.
  • Oversee office operations and logistics, including office equipment, supplies, and coordination with building and office management (e.g., access, internet, seating charts, workstations, and new-hire setup).
  • Assist with special projects and initiatives across the Digital Technology organization.
  • Coordinate team events, offsites, and leadership meetings to foster collaboration, engagement, and team culture.
  • Participate as a member of the Executive Assistant team by coordinating office-wide events, providing front desk coverage when needed, and supporting EA vacation and coverage schedules.
  • Maintain professionalism and confidentiality while exercising sound judgment and discretion in all interactions.
What You Bring

  • Ability to maintain confidentiality and exercise discretion while supporting senior leaders.
  • At least 3 years of experience serving as an Executive Assistant to senior leaders in a fast-paced environment.
  • Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Excellent organizational, time-management, and prioritization skills with strong attention to detail.
  • Clear, professional, and effective communication skills—both written and verbal.
  • Ability to follow written and verbal instructions while proactively anticipating needs.
  • Professional phone and in-person demeanor, with a service-oriented mindset.
  • A commitment to serving as a culture carrier for the Digital Technology team and Kestra as a whole, modeling professionalism, collaboration, and accountability.

Internal Application Policy:
Internal applicants must be in good standing and have a minimum of 1 year of service with Kestra. Internal applicants must also have a minimum of 1 year service in current role unless approved by EVP.
