ChargeX is seeking a proactive and detail-oriented Inventory & Sourcing Officer to support the procurement, inventory management, and import operations of our power storage battery manufacturing facility. The ideal candidate will ensure the timely availability of raw materials and production components, maintain accurate inventory records, coordinate international shipments, and support uninterrupted manufacturing operations. This role requires someone who can effectively manage supplier coordination, inventory control, and import documentation while working closely with Production, Procurement, and Finance teams.
Core Responsibilities & Duties
Inventory Management
- Maintain accurate inventory records for raw materials, battery cells, Battery Management Systems (BMS), PCBs, battery enclosures, busbars, connectors, wiring harnesses, cables, packaging materials, labels, spare parts, and finished goods.
- Monitor stock levels and maintain minimum, maximum, and safety stock levels.
- Record all inventory transactions including receipts, issues, transfers, returns, and adjustments.
- Conduct routine physical stock counts and reconcile inventory discrepancies.
- Ensure proper material identification, labeling, storage, and traceability.
- Implement and monitor FIFO/FEFO inventory practices.
- Generate inventory reports, stock ageing reports, and variance reports.
- Coordinate with Production to ensure timely material availability and avoid stock-outs.
Procurement & Sourcing
- Source raw materials, production components, packaging materials, and consumables from local and international suppliers.
- Obtain quotations, compare prices, and prepare comparative statements for vendor selection.
- Assist in negotiating pricing, payment terms, lead times, and delivery schedules.
- Raise purchase requisitions and purchase orders based on inventory requirements.
- Develop and maintain relationships with existing and new suppliers.
- Coordinate with vendors to ensure timely deliveries and resolve supply-related issues.
- Maintain procurement records and supplier database.
- Monitor supplier performance in terms of quality, delivery, and responsiveness.
Import & Logistics Coordination
- Coordinate import shipments from international suppliers until material reaches the manufacturing facility.
- Prepare and review import-related documentation including Commercial Invoices, Packing Lists, Bills of Lading, Airway Bills, Certificates of Origin, and other shipping documents.
- Liaise with freight forwarders, shipping agents, customs clearing agents, and courier companies.
- Track shipment status and proactively follow up to avoid delays.
- Coordinate customs clearance activities and ensure timely delivery of imported goods.
- Maintain records of imports, shipping costs, duties, and logistics expenses.
- Ensure compliance with import regulations and documentation requirements.
Coordination & Reporting
- Work closely with Production, Finance, and Operations teams to understand material requirements.
- Support production planning by ensuring material availability.
- Prepare daily, weekly, and monthly inventory and procurement reports.
- Maintain accurate procurement, inventory, and import documentation.
- Identify opportunities to improve inventory accuracy, procurement efficiency, and operational processes.
Job Specifications & Requirements
Education
- Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Industrial Engineering, Commerce, or a related field.
Experience
- 1–2 years of experience in inventory management, procurement/sourcing, imports, supply chain, or warehouse operations.
- Experience in manufacturing, electronics, batteries, automotive, electrical equipment, or industrial environments will be preferred.
