Office Administrator

The Office Administrator is responsible for the day-to-day operation of IRG’s Corporate Office and serves as a central support resource across departments. This role ensures the office runs smoothly, information flows efficiently, and administrative processes are executed accurately and on time.

This position is ideal for a strong administrative professional who enjoys structure, coordination, and being the go-to person for keeping things organized, without the expectations of an executive assistant role.

Primary Responsibilities

Office & Administrative Operations

  • Manage the front desk, including answering phones and greeting visitors.
  • Open, sort, and distribute incoming mail and coordinate outgoing mail and overnight deliveries.
  • Maintain office supplies, kitchen areas, and shared spaces.
  • Schedule messenger services and coordinate office vendors.
  • Plan and support internal meetings and events, including logistics and materials.

Administrative & Departmental Support

  • Prepare and distribute routine correspondence, reports, spreadsheets, and presentations.
  • Maintain organized real estate and corporate documentation with a high level of accuracy.
  • Download and save monthly AP reports from the Accounting System.
  • Assist Accounting and Legal teams with administrative tasks such as deposits, payables, and time entry.
  • Support departments with special and ongoing projects as assigned.

Coordination & Communication

  • Communicate with internal teams and nationwide offices to support administrative needs.
  • Follow up on open items to ensure tasks are completed on time and accurately.
  • Serve as a reliable point of contact for day-to-day office coordination.

Qualifications

  • Highly organized with strong attention to detail.
  • Comfortable managing multiple tasks and priorities.
  • Clear and professional communicator.
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Dependable, adaptable, and willing to take ownership of administrative processes.
