Patient Lead Coordinator — Lead Nurturing & Appointment Closing Specialist (Lahore, In-House)

We are looking for a fast, empathetic, professional communicator who knows how to pick up the phone, build instant rapport with a stranger, and guide them from curious to committed — all within a single conversation.

About our office

Our Lahore team manages lead follow-up and appointment coordination for our US patient base. Every day, potential patients in USA fill out forms expressing interest in our treatments. It is your job to reach them first, connect with them genuinely, and book them in.

THE ROLE

As a Patient Lead Coordinator, you will be the first human voice a potential X-Shot patient hears after they show interest. You will receive real-time lead notifications, make outbound calls within 5 minutes, manage WhatsApp and SMS follow-up sequences, overcome objections with empathy, and convert warm leads into confirmed consultation appointments.

This role works US Eastern Time hours. Lahore-based team members will work an evening or night shift to align with New York business hours. Full training, scripts, CRM access, and ongoing support are provided.

WHAT YOU WILL DO

  • Call every new lead within 5 minutes of their form submission — this is your most important task
  • Send SMS and WhatsApp messages if calls go unanswered — follow up persistently but professionally
  • Qualify leads: understand their interest, timeline, and concerns
  • Book consultation appointments using our online calendar system
  • Manage a structured follow-up sequence over days and weeks for leads not yet ready to commit
  • Handle objections warmly: cost, nervousness, wanting to research — you know how to keep the door open
  • Log all activity accurately in our GoHighLevel CRM
  • Confirm appointments and send reminders 24 hours and 2 hours before each consultation
  • Re-book no-shows with a same-day follow-up call

WHAT YOU NEED

  • Excellent English communication skills — spoken and written, confident and clear
  • At least 1 year of experience in sales calls, appointment setting, telesales, or customer service
  • A warm, empathetic phone manner — you make strangers feel at ease immediately
  • Persistence and resilience — you follow up until you get a response or a clear decision
  • Strong organisation — you can manage 50–100 leads at different stages without losing track
  • Absolute discretion — patient health information is private and must be treated that way
  • Willingness to work evening/night shift hours aligned with US Eastern Time

BONUS POINTS

  • Experience working with US or UK Medical clients
  • Familiarity with CRM tools (GoHighLevel preferred)
  • Background in healthcare, aesthetics, or wellness sales
  • Experience with WhatsApp Business, SMS follow-up sequences, or automated dialler tools

Performance incentive: PKR ..... per verified booked appointment that results in a patient attending the clinic. Top performers earn significantly above base.

Job Type: Full-time

Pay: Rs60,000.00 - Rs80,000.00 per month
