Payroll Specialist

Job Summary

PDS Health is seeking a detail-oriented and analytical Payroll Analyst to manage and support payroll operations across a multi-location healthcare organization.

This role is responsible for ensuring accurate and timely payroll processing, maintaining compliance with federal and state regulations, and analyzing payroll data to improve efficiency and accuracy. The ideal candidate has strong knowledge of payroll systems, excellent attention to detail, and the ability to work independently in a remote environment.

$85,000 - $120,000 per annum

Key Responsibilities

+ Payroll Processing & Administration

  • Process bi-weekly or semi-monthly payroll for employees across multiple locations
  • Ensure accurate calculation of wages, overtime, bonuses, and deductions
  • Review and validate payroll data before final submission
  • Resolve payroll discrepancies and employee inquiries in a timely manner

+ Payroll Analysis & Reporting

  • Analyze payroll data to identify trends, errors, and opportunities for improvement
  • Prepare payroll reports for finance and leadership teams
  • Reconcile payroll accounts and ensure data accuracy
  • Maintain payroll records and documentation

+ Compliance & Audits

  • Ensure compliance with federal, state, and local payroll laws and regulations
  • Maintain knowledge of tax laws, wage laws, and labor regulations
  • Support internal and external payroll audits
  • Ensure proper handling of confidential employee information

+ Systems & Process Improvement

  • Work with payroll systems (e.g., ADP, Workday, or similar platforms)
  • Identify and implement process improvements for payroll efficiency
  • Support system upgrades, testing, and implementations
  • Assist in automation and reporting enhancements

+ Collaboration

  • Partner with HR, Finance, and Operations teams
  • Provide guidance on payroll-related matters
  • Support onboarding and offboarding payroll processes
  • Communicate payroll updates and policies clearly

Required Qualifications

+ Education & Experience

  • Bachelor’s degree in Accounting, Finance, Business, or related field
  • 3–5+ years of payroll experience (multi-state preferred)

+ Technical Skills

  • Experience with payroll systems (ADP, Workday, or similar)
  • Advanced Microsoft Excel skills (formulas, pivot tables, data analysis)
  • Strong understanding of payroll processes and reporting
  • Knowledge of payroll taxes and compliance requirements

Preferred Qualifications

  • Certified Payroll Professional (CPP) designation
  • Experience in healthcare or multi-location organizations
  • Familiarity with HRIS systems
  • Experience with data visualization tools (Power BI, Tableau)
