Position Overview
We are seeking a highly organized, analytical, and self-driven Personal Assistant who can act as a strategic support partner to senior leadership. This role goes beyond traditional administrative tasks and requires someone capable of critical thinking, managing ongoing projects, anticipating future challenges, and utilizing modern tools (including AI) to enhance efficiency and decision-making.
The ideal candidate will have excellent communication skills, strong problem-solving abilities, and a proactive mindset, along with the ability to confidently collaborate with institutional partners and foreign universities on behalf of leadership.
Key Responsibilities
Executive & Administrative Support
- Manage calendars, meetings, travel arrangements, and priority schedules.
- Prepare reports, presentations, and executive summaries.
- Handle confidential and sensitive information with discretion.
- Coordinate communication between leadership and internal/external stakeholders.
Ongoing Project Management
- Assist in planning, tracking, and execution of ongoing strategic projects.
- Monitor timelines, deliverables, and progress updates.
- Coordinate with cross-functional teams to ensure smooth implementation.
- Prepare performance dashboards and structured reports.
Strategic & Analytical Support
- Conduct research, data analysis, and market insights to support decision-making.
- Identify operational gaps and provide actionable recommendations.
- Support leadership with structured thinking and data-backed insights.
Problem Solving & Future Planning
- Anticipate potential operational challenges and propose solutions.
- Identify risks and support in developing mitigation strategies.
- Take ownership of assigned tasks and ensure timely completion.
External Collaboration & Partnerships
- Liaise with institutional partners, international stakeholders, and foreign universities for coordination, documentation, and follow-ups.
- Draft professional correspondence and maintain relationship records.
- Represent leadership in scheduled calls or meetings when required.
Modern Ways of Working
- Utilize AI tools and automation platforms to improve productivity.
- Implement digital systems for workflow tracking and reporting.
- Continuously explore innovative and tech-enabled methods to enhance efficiency.
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Management, or relevant field.
- 2–5 years of experience in executive support, project coordination, or similar role.
- Exceptional written and verbal communication skills, especially for international and institutional correspondence.
- Strong analytical and critical thinking abilities.
- Highly self-driven and proactive approach to work.
- Strong problem-solving capabilities.
- Exceptional organizational and multitasking skills.
- Proficiency in MS Office, Google Workspace, and project management tools.
- Practical knowledge of AI tools and modern productivity platforms.
- Ability to work effectively in a fast-paced environment.
