Position Overview:
The Recruiter owns full-cycle recruitment across technical and non-technical roles, with a particular focus on hard-to-fill positions that demand creative, out-of-the-box sourcing. Reporting to the Global HR Manager in Toronto and partnering closely with the Talent Acquisition Specialist in Karachi, this role is dedicated to recruitment, not generalist HR, and serves as an internal brand ambassador for Exa, building genuine relationships with candidates, hiring managers, and the wider talent community. The successful Recruiter will support, but not own, broader people initiatives such as the Summer Internship Program, on-campus engagement, and mentorship programs, contributing recruiting expertise where it strengthens the talent pipeline.
Key Responsibilities:
- Manage full-cycle recruitment for technical and non-technical roles: intake, sourcing, screening, interviewing, offer negotiation, and onboarding.
- Lead creative, out-of-the-box sourcing strategies for hard-to-fill and niche positions — going beyond job boards to identify passive talent through targeted outreach, professional networks, communities, referrals, and advanced Boolean and X-ray search.
- Use AI tools responsibly to accelerate sourcing, candidate research, drafting, and communication — applying sound judgment about bias, candidate privacy, and where human review must remain central.
- Partner closely with the Karachi-based Talent Acquisition Specialist on shared pipelines, sourcing coverage, and candidate experience, operating as one cohesive recruiting function.
- Partner with hiring managers across Exa’s global portfolio to define hiring criteria, calibrate scorecards, and drive successful recruitment outcomes.
- Build position scorecards using the WHO Method or equivalent structured hiring frameworks (e.g., Topgrading’s A Player Model), translating role outcomes and competencies into clear, evidence-based hiring criteria.
- Coach hiring managers on running structured, high-signal interviews — including question design, behavioral probing, evidence capture, and bias mitigation — to raise interview quality across the portfolio.
- Write and post clear, compelling job descriptions and advertisements that reflect Exa’s brand and attract high-caliber candidates.
- Maintain accurate, up-to-date records in the ATS and deliver recruitment metrics and pipeline reporting to HR leadership.
- Champion a positive candidate experience at every stage of the hiring process, leaving every candidate — hired or not — with a strong impression of Exa.
- Act as an internal brand ambassador for Exa, building rapport with hiring managers, candidates, and university and community partners — the kind of person colleagues naturally gravitate toward.
- Support (not own) on-campus recruitment, university relations, the Summer Internship Program, and mentorship initiatives — contributing sourcing expertise, candidate engagement, and event presence as needed.
- Contribute to broader HR initiatives related to employer branding and employee engagement where a recruiting perspective adds value.
- May coordinate, assist, or deliver both onboarding and offboarding activities and materials.
Required Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related discipline.
- 5–7 years of full-cycle recruitment experience, ideally within a software, technology, or fast-paced environment.
- Proven expertise sourcing and closing both technical and non-technical talent, with a demonstrated track record of filling hard-to-fill or niche roles through creative sourcing.
- Hands-on experience with structured hiring methodologies such as the WHO Method or Topgrading, including building position scorecards and running calibrated interview processes.
- Experience supporting on-campus recruitment campaigns, internship programs, or university partnerships is preferred (support capacity, not program ownership).
- Solid understanding of recruitment best practices and applicable employment laws in Pakistan; familiarity with North American hiring norms is an asset.
- Strong proficiency with ATS platforms and modern sourcing tools (LinkedIn Recruiter, LinkedIn Sales Navigator, Indeed, Boolean search, university portals).
- Practical, responsible use of AI tools in recruiting — for sourcing, candidate research, drafting, and communication — with sound judgment around bias, candidate privacy, and where human judgment must remain central.
- Strong organizational skills and attention to detail; able to manage competing priorities and meet deadlines in a high-volume environment.
- Excellent communication, negotiation, and interpersonal skills, with the ability to represent Exa credibly to senior candidates and hiring managers.
- A natural relationship-builder and team player — someone others gravitate toward, comfortable acting as a brand ambassador for the company.
- General awareness of HR operations adjacent to recruiting (onboarding handoff, offer logistics) is a plus, though this role is dedicated to recruitment.
- Fluency in English (spoken and written) is required.
- Experience working with international teams or North American markets is an asset.
