Job Description – RFP Specialist
Position Overview
The RFP Specialist is responsible for managing the end-to-end development and submission of proposals in response to RFPs, RFIs, and other formal bid requests. This role ensures timely coordination, cross-functional collaboration, and full compliance with client requirements and internal standards.
Key Responsibilities
RFP/RFI Management
- Analyze and interpret RFPs, RFIs, and related documentation to understand client expectations and requirements.
- Develop comprehensive proposal timelines and ensure all deliverables are completed on schedule.
- Coordinate input from cross-functional teams, including Sales, Marketing, Legal, and Subject Matter Experts.
- Tailor proposals to meet client-specific needs while ensuring strict adherence to submission guidelines.
- Assist in developing pricing strategies aligned with company objectives.
Proposal Development
- Prepare, review, and refine proposal content to ensure clarity, consistency, and accuracy
- Develop persuasive narratives that effectively showcase the organization’s capabilities and unique strengths
- Maintain and update reusable assets such as templates, boilerplate content, and case studies
- Collaborate with internal teams to gather technical, financial, and legal inputs for proposals
Collaboration & Coordination
- Act as the main point of contact for all RFP-related queries within the organization
- Coordinate with cross-functional teams to collect relevant information and ensure alignment with client requirements
- Manage internal review processes and obtain necessary approvals prior to submission
Submission & Follow-Up
- Oversee timely and accurate submission of proposals across various channels (online portals, email, or physical delivery)
- Track proposal progress and provide regular status updates to leadership
- Respond promptly to client follow-ups, including requests for clarification or additional documentation
Continuous Improvement
- Analyze proposal results and incorporate feedback to enhance future submissions and processes
- Maintain a centralized knowledge base of FAQs, standard responses, and objection-handling content to improve efficiency
QualificationsEducation
- Bachelor’s degree in Business, Marketing, Communications, or a related field
Experience
- 1–2 years of experience in proposal writing, RFP coordination, or business development
Core Skills
- Strong writing, editing, and proofreading capabilities
- Excellent organizational and project management skills
- Ability to multitask and meet tight deadlines
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with proposal tools is a plus
- High attention to detail and accuracy
- Strong communication and collaboration skills
- Understanding of proposal management best practices
Preferred Qualifications
- Experience using proposal management software
- Industry exposure to IT, healthcare, construction, or other complex proposal environments
