Job Title: Senior Officer — HR & Administration

About the Role

We are looking for an experienced and proactive Senior Officer — HR & Administration to join our team. This role is ideal for an HR professional who can independently manage core HR functions and administrative operations while ensuring compliance and a great employee experience.

Key Responsibilities

Recruitment & Onboarding

  • Manage end-to-end recruitment — job postings, screening, interviews, and offer letters
  • Coordinate with department heads to define hiring needs
  • Conduct onboarding sessions and ensure new hire documentation is complete
  • Maintain talent pipeline and applicant tracking system

HR Operations & Compliance

  • Maintain accurate employee records in HRMS
  • Process monthly payroll inputs — attendance, leaves, deductions
  • Ensure compliance with labor laws and company policies
  • Manage contracts, renewals, warnings, and disciplinary documentation
  • Handle separations — clearance, final settlements, exit interviews

Employee Relations & Engagement

  • Serve as point of contact for employee HR queries
  • Support employee engagement and wellness initiatives
  • Assist in performance appraisal cycles
  • Handle grievances professionally and confidentially

Training & Development

  • Coordinate training needs assessments and scheduling
  • Maintain training records and evaluate effectiveness
  • Support internal training calendar development

Administration

  • Oversee office administration — vendor management and facility upkeep
  • Manage supplies, travel arrangements, and logistics
  • Maintain filing systems and document control
  • Coordinate cross-departmentally with IT, Finance, and others

Requirements

  • Bachelor's degree in HR, Business Administration, or related field
  • HR certification (SHRM-CP, PHR, or equivalent) is a plus
  • 2 years of progressive HR & admin experience
  • Hands-on experience with HRMS/payroll software (SAP, BambooHR, Oracle, etc.)
  • Strong knowledge of labor laws and HR best practices
  • Excellent communication and interpersonal skills
  • High level of discretion and confidentiality
  • Proficient in MS Office Suite
  • Strong organizational skills and ability to work independently
