Key Responsibilities Tender Strategy and Planning
- Review and analyze tender documents, specifications, and requirements.
- Define bid strategy, pricing approach, and submission timelines.
- Monitor available tender opportunities and maintain tender pipeline.
- Analyze market tenders and evaluate their suitability for company participation.
- Attend pre-bid meetings and clarification sessions.
Proposal Development
- Lead preparation of technical and commercial proposals.
- Ensure complete, accurate, and compliant tender submissions.
- Develop cost estimates, pricing structures, and commercial strategies.
Coordination and Communication
- Coordinate with sales, technical, finance, and supply chain teams.
- Request and evaluate quotations from suppliers and subcontractors.
- Prepare, issue, and follow up on RFQs to approved suppliers in line with tender specifications.
- Ensure timely receipt and compliance of supplier quotations.
- Compile approved suppliers’ quotations into the final tender submission.
- Ensure submission of one primary supplier quotation and required backup quotations.
- Evaluate and document all supplier quotations before submission.
Tender Submission and Follow-Up
- Ensure all tender submissions meet deadlines and compliance requirements.
- Manage tender tracking systems and documentation.
- Handle post-tender clarifications, negotiations, and contract finalization.
Team Supervision
- Supervise and guide the tender executive and support staff.
- Assign tasks related to tender preparation and submission.
- Review tender documents before submission.
- Provide training and performance feedback.
Reporting and Analysis
- Prepare regular reports on tender pipeline, submissions, and outcomes.
- Analyze win/loss performance and recommend improvements.
- Maintain updated tender tracking reports and dashboards.
- Submit periodic management reports on tender performance.
