GENERAL PURPOSE:

Under general supervision, this position provides a full range of comprehensive administrative office support work to the Agency Deputy Chief Executive Officer requiring the application of specialized administrative knowledge, customer focus, organization and attention to detail, initiative, and independent judgment. It is the highest level within the administrative support series and is distinguished from all other administrative support classifications in that the major duties performed require independent judgment and prioritization, tracking, and communication on behalf of the senior-most executives within Sound Transit&rsquo;s structure. Secretarial/clerical duties may still be required but are performed less frequently with notable independence and accountability for the work results. This position serves as liaison with regard to programs, policies, procedures, and assigned functions for the department; acts as a liaison with other departments/divisions; coordinates executive schedules and meeting calendars; coordinates their principals&rsquo; process flow; handles travel arrangements and logistics; makes process improvement decisions, and coordinates communications with other Agency departments, divisions, and outside agencies on behalf of the Agency Deputy Chief Executive Officer and the department.

ESSENTIAL FUNCTIONS:

The following duties are a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

<li>Provides direct administrative support to the Agency Deputy Chief Executive Officer in order for them to complete their duties and ensures department administrative functions run smoothly.</li>
<li>Supports the Administrative Manager with the preparation of the Agency Deputy Chief Executive Officer's daily schedule.</li>
<li>Meets with the Administrative Manager and COS regularly to understand scheduling and issue priorities and execute short-term and long-term planning to ensure the maximization of the Agency Deputy Chief Executive Officer's time.</li>
<li>Schedules meetings and manages meeting calendars and appointments on behalf of the Agency Deputy Chief Executive Officer, interacting directly with executive leadership, elected officials, Board members, partner agency staff, and other external stakeholders as needed. Plans, coordinates and ensures the Agency Deputy Chief Executive Officer's schedule is followed and respected.</li>
<li>Provides &ldquo;gatekeeper&rdquo; and &ldquo;gateway&rdquo; role, creating win-win situations for direct access to the Agency Deputy Chief Executive Officer's time and office.</li>
<li>Ensures the maximization of the Agency Deputy Chief Executive Officer's time and prepares them for meetings by ensuring they have support materials needed for each meeting.</li>
<li>Serves as a point of contact between the Office of the CEO and external entities; receives, analyzes, and triages incoming inquiries and complaints from a variety of sources, and ensures information is routed to the appropriate staff members for response.</li>
<li>Greets visitors; ensures they have proper directions and up-to-date communication should there be changes to the Agency Deputy Chief Executive Officer's schedule.</li>
<li>Responds to time-sensitive requests for information and assistance regarding the Office of the CEO.</li>
<li>Operates a variety of office equipment; acts as contact for all business machine issues; utilizes various computer applications and software packages; oversees the ordering of special-order office supplies.</li>
<li>Ensures processes, policies and practices are interpreted and applied consistently and effectively; ensures accountability and compliance with all current and applicable state and federal laws, Agency policies and procedures, rules and regulations established by the Agency and the Office of the CEO.</li>
<li>Provides calendar printout/email summary of daily meeting schedule.</li>
<li>Coordinates all meeting logistics, including staff support, car reservations, directions, room reservations, equipment, beverages and meals, in compliance with ST policies.</li>
<li>As requested, takes and transcribes detailed minutes for executive meetings, and tracks action items for the Agency Deputy Chief Executive Officer.</li>
<li>Coordinates official travel for the Agency Deputy Chief Executive Officer, including completion of travel preauthorization form, travel expense claim and travel card reconciliation, and ensures compliance with Sound Transit travel policy.</li>
<li>Processes event registrations, special office supply requests, and other routine expenditures, and reconciles and justifies expenses in accordance to Sound Transit procurement card policy.</li>
<li>Handles sensitive personnel and business information on behalf of the Agency Deputy Chief Executive Officer with utmost discretion and care.</li>
<li>As needed, assists with onboarding for new department or division employees, which may include: handling confidential employee information, ensuring new employees have the equipment, software, supplies and basic information needed to work at Sound Transit; and providing basic training to new administrative support staff.</li>
<li>As needed, coordinates with Human Resources to schedule interviews and distribute sensitive personnel documents such as resumes.</li>
<li>Prepares reports and supporting documentation on issues external to the department or issues having a high impact on the department and Agency.</li>
<li>Collects and compiles statistical, financial and other information for a variety of reports.</li>
<li>Receives, sorts, prioritizes and tracks the Agency Deputy Chief Executive Officer's correspondence, and tees up those that require approval or response.</li>
<li>Gathers information and prepares letters, reports or memoranda as directed.</li>
<li>Reviews and checks documents and records for accuracy, completeness, and conformance with the Agency Deputy Chief Executive Officer's initial guidance, as well as applicable rules and regulations.</li>
<li>Prepares and/or assists in the preparation of agendas, notices, minutes, announcements, applications, resolutions and other documents.</li>
<li>Manages the Agency Deputy Chief Executive Officer's office organization and filing, which includes highly sensitive files.</li>
<li>Ensures compliance with records management policies and procedures.</li>
<li>Monitors effectiveness of current office procedures and determines the need to change procedures to meet department goals/needs.</li>
<li>Coordinates and monitors defined projects and activities within department and recommends actions and modifications as appropriate.</li>
<li>Manages project deadlines, files and information.</li>
<li>Coordinates with team members within the Office of the CEO on defined projects and activities within the purview of the CEO&rsquo;s Office.</li>

MINIMUM QUALIFICATIONS:

Education and Experience: Bachelor&rsquo;s degree in Business Administration or closely related field. Four years of experience, providing full-time administrative support functions, such as schedule management, travel coordination, budget/procurement, and special projects, to one or more executive leaders (C-suite) in a complex organization with a large budget; Or an equivalent combination of education and experience.

POSITION SUMMARY: The Clinical Supervisor of 988 Crisis Services is responsible for oversight of the daily operations of the 988 Suicide and Crisis Lifeline phone, or chat and text teams. Working under the supervision of the Clinical Director of 988 Crisis Services, this position plays a key role in supporting the ongoing growth and development of our clinical contact center team.
The Clinical Supervisor will lead hiring and onboarding efforts, support ongoing clinical training and development of staff, and assist in the implementation and process improvement of new technologies to enhance service delivery. This role provides direct supervision of a multi-disciplinary team working across a 24/7 shift schedule, in close collaboration with other members of the Clinical Leadership Team.
The ideal candidate brings strong clinical expertise in crisis intervention, de-escalation, mental health assessment, and clinical supervision. Key responsibilities include hiring, training, and supervising staff; overseeing high-quality service delivery across phone, chat, and text platforms; and ensuring that all individuals who contact the 988 Suicide and Crisis Lifeline receive appropriate safety assessments, emotional support, safety planning and referral to the correct level of care, including mobile crisis teams, designated crisis responders, and other community mental health resources.
JOB DUTIES
SUPERVISOR RESPONSIBILITIES<ul><li>
Ensures contract compliance including providing consistent quality assurance, monitoring contact center operations, and ensuring timely, appropriate call and chat/text response.</li><li>
Maintains in-depth knowledge of staff functions to be able to fulfill those responsibilities in case of absence/vacancy.</li><li>
Supervises the staff of the assigned shift, to include MA level, BA level, and Certified Peer Specialist staff. Ensure staff receive supervision and contact monitoring to adhere to the 988 Suicide and Crisis Lifeline operational best practices, guidelines, and operational requirements.</li><li>
Participates in interviewing and screening candidates for these positions.</li><li>
Provide quality assurance oversight to the 988 Suicide and Crisis Lifeline, which will include close monitoring and coaching of all staff on shift.</li><li>
Works as a member of the Crisis Connections leadership team to ensure efficient and effective integration with other Crisis Connections department programs.</li><li>
Maintain an accurate and up to date list of current employees, their FTE status, and schedule to ensure coverage needs are met.</li><li>
Conduct formal evaluations of all assigned staff.</li><li>
Ensures that all policies and procedures are followed by 988 staff.</li><li>
Ensures that shift culture is consistent with delivery of compassionate, respectful and professional services.</li></ul>
CALLER MANAGEMENT<ul><li>
Responsible for oversight and handling of 988 Suicide and Crisis Lifeline contacts, assessing for risk of harm, addictions, mental illness and ensuring that best clinical intervention practices are implemented.</li><li>
Ensure there are appropriate state-wide referrals and dispatches across WA State.</li><li>
Ensure there are appropriate phone, online chat, and/or SMS text crisis interventions to clients using 988.</li><li>
Ensures that all contacts are documented accurately and completely by the end of each shift.</li></ul>

Meets Call standards:<ul><li>
Call Abandonment rate 5% or less.</li><li>
Call Answer Rate within 20 seconds 95% or higher.</li><li>
Staffing vacancy rate less than 5% for the 988 team.</li><li>

Effectively evaluates team and individual performance through review of metrics and data to interpret both past, present, and future performance to ensure contractual requirements are met.</li><li>

TRAINING AND PROFESSIONAL DEVELOPMENT<ul><li>
Supports Clinical Director of 988 Crisis Services in onboarding and supervision staff that incorporates contractual requirement, clinical best practices, and recommendations from the 988 Suicide and Crisis Lifeline.</li><li>
Maintains required credentials and/or licensure and keeps updated on current professional literature and trends in the mental health and chemical dependency field.</li><li>
Maintain a minimum of 12 hours of training per FTE on approved topics relevant to the job function.</li></ul>

QUALIFICATIONS AND REQUIRED SKILLS<ul><li>Master&rsquo;s degree in psychology/counseling or social work or related field required.</li><li>Mental Health Professional (MHP) status as defined by Washington Administrative Code (WAC 246-341-0515) and Revised Code of Washington (RCW 71.05 and 71.34).</li><li>Independent or associate licensure in counseling, or social work preferred.</li><li>Individuals must hold one of the following active credentials or licenses in the State of Washington:</li><li>Licensed Mental Health Counselor (LMHC) or Associate (LMHCA)</li><li>Licensed Independent Clinical Social Worker (LICSW) or Associate (LSWAIC)</li><li>Licensed Marriage and Family Therapist (LMFT) or Associate (LMFTA)</li><li>Certified or Licensed Agency Affiliated Counselor (per RCW 18.19.210)</li></ul><ul><li>

In addition, members of the Division have made substantial contributions to many other areas of cancer treatment, including the use of tumor vaccines, cellular therapy for cancer, antibody-based treatments, and novel forms of chemotherapy and hormonal therapy. The Division of Hematology &amp; Oncology has an outstanding opportunity for a full-time Clinical Research Coordinator. The purpose of this position is to promote the research objectives of the Cancer Vaccine Institute (CVI) in the Division of Medical Oncology. This position will work as a member of the Clinical Research Team that conducts primarily Phase I and Phase II Investigator-initiated clinical trials to test immune-based therapies for cancer.
Position Complexities
Complexities and dimensions of this position include the requirement for close collaboration with research partners in community oncology practices to identify potential study patients, to interview patients to assess interest in clinical trial participation, and to review medical records to determine if patients are eligible for immunotherapy trials. Patients currently being enrolled in CVI trials typically have advanced stage cancer, and the emotional impact of working closely with this patient population can be a challenge. This position requires the collection and organization of a large volume of detailed medical and clinical research information, and the ability to continually refine processes and procedures to work more efficiently and effectively.
Position Dimensions and Impact to the University
The UW Medicine CVI's mission is to conduct basic and clinical research that leads to the development of effective immune-based cancer therapies and diagnostic tests. The Research Coordinator 1 will play a key role in implementing clinical trials that test new cancer therapies. They will be knowledgeable and observant of all applicable rules, regulations, and guidelines for the safe and ethical conduct of clinical research.
DUTIES AND RESPONSIBILITIES
Clinical Trial Intake: 40%
&middot; Act as initial point of contact for all new clinical trial referrals and inquiries.
&middot; Respond to all incoming inquiries and referrals in a timely and professional manner.
&middot; Independently obtain medical records as it pertains to the clinical trial screening and eligibility; including but not limited to: imaging, labs, surgical notes, chart notes .
&middot; Initiate and maintain communication with outside physicians who refer patients to UWMC and/or FHCC for clinical trials. Communicate research requirements effectively with all providers involved in patient care including outside physicians who are interested in referring patients to CVI for clinical trials.
&middot; Provide scheduling, as needed, for study consent, screening and eligibility tests.
&middot; Develop preliminary patient eligibility assessment and triage patients for potential studies, with assistance as needed.
&middot; Update and maintain clinical trial patient lists and waitlists.
&middot; Document intake assessments and processes in study specific databases.
