 POSITION OVERVIEW
 
 
 
 The Procurement Executive will be responsible for managing end-to-end procurement activities, ensuring the timely acquisition of goods and services while maintaining compliance with organizational policies, regulatory requirements, and cost optimization objectives. The role requires strong vendor management, negotiation, contract coordination, and stakeholder engagement capabilities.
 
 
 
 
 
 
 KEY RESPONSIBILITIES
 
 
 <ul>

 Receive, review, and process purchase requisitions in accordance with approved procurement policies and procedures.
 </li>
 <li>
 Source and evaluate vendors and suppliers to ensure competitive pricing, quality standards, and timely delivery.
 </li>
 <li>
 Prepare and issue RFQs, RFPs, and RFIs as required.
 </li>
 <li>
 Obtain, compare, and evaluate supplier quotations to achieve the best value for the organization.
 </li>
 <li>
 Negotiate pricing, payment terms, delivery schedules, warranties, and service agreements with suppliers.
 </li>
 <li>
 Prepare Purchase Orders (POs) and ensure compliance with the approved authorization matrix.
 </li>
 <li>
 Coordinate with vendors and internal stakeholders to ensure timely delivery of goods and completion of services.
 </li>
 <li>
 Develop, maintain, and regularly update supplier databases and approved vendor records.
 </li>
 <li>
 Conduct supplier performance evaluations and recommend improvements where necessary.
 </li>
 <li>
 Coordinate with the Legal Department for contract reviews, drafting, execution, and management of service agreements and SLAs.
 </li>
 <li>
 Ensure procurement activities comply with company policies, regulatory requirements, and audit standards.
 </li>
 <li>
 Maintain complete procurement documentation, including quotations, comparative analyses, purchase orders, contracts, invoices, and correspondence.
 </li>
 <li>
 Monitor procurement budgets, spending trends, and identify cost-saving opportunities.
 </li>
 <li>
 Coordinate with Finance and Accounts for invoice verification, payment processing, vendor reconciliations, and procurement reporting.
 </li>

 Prepare periodic procurement reports, vendor performance reports, savings reports, and management summaries.
 </li>
 <li>
 Support internal and external audits by ensuring accurate and complete procurement records.
 </li>

 Position Overview
 
 
 
 The Contract Coordinator supports the company&rsquo;s day-to-day purchasing, vendor coordination, and procurement tracking across the agency. This role is an embedded partner to account, operations, and finance teams, helping ensure work moves quickly while meeting client and vendor procurement requirements. A significant portion of this role supports client and vendor procurement processes, including onboarding, compliance documentation, and procurement systems. This is a hands-on, detail-oriented role in a fast-paced environment, where strong follow-through and clear communication are critical.
 
 
 The position is remote in Pakistan and with working hours 9:00am ET to 5:30pm ET or similar schedule.
 
 
 
 Responsibilities
 
 
 
 <ul>

 Manage purchase requests, purchase orders, vendor setup, and invoice tracking
 </li>
 <li>
 Partner with account operations, and finance teams to keep work moving and resolve procurement-related blockers. Support client procurement processes (vendor onboarding, compliance forms, new business procurement requests).

 Serve as a liaison between internal teams, vendors, and client procurement contacts when needed
 </li>
 <li>
 Maintain accurate procurement and contract records, including vendor and client contract documentation, system updates, and tracking across platforms (e.g., CLM systems)

 Support the procurement team with sourcing requests, pricing comparisons, and vendor research
 </li>
 <li>
 Track contract lifecycles, including renewals, key dates, and execution status
 </li>
 <li>
 Help monitor procurement budgets and reconcile purchasing records with finance teams including validating invoices against contract terms and approved budgets/actuals
 </li>

 Communicate with vendors regarding orders, invoicing, and account updates
 </li>
 <li>
 Ensure purchasing activities follow agency policies, approval workflows, and procurement guidelines

 Assist with reporting and administrative tasks, including pulling contract data, generating reports, and supporting ad hoc business requests
