Position Summary:
Under clearly defined supervision, performs a variety of basic to moderately complex clerical tasks to support assigned area. This position may provide secretarial support. Departments may provide additional guidance with a departmental position description.
Position Key Accountabilities:<ul><li>
Handles general inquiries, collects and processes paperwork such as document processing, record keeping, and report compilation.</li><li>
Transcribes correspondence and memoranda; prepares graphs; tables and manuscripts; prepares reports and presentation materials.</li><li>
Schedules and maintains calendars and travel itineraries; coordinates related arrangements in compliance with all University, governmental, and/or grant policies and guidelines.</li><li>
May maintain and reconcile assigned financial records/ reports for area.</li><li>
Completes and processes forms and documents using standard policies and procedures.</li><li>
Maintains financial record keeping systems.</li><li>
Schedules meetings and rooms, invites participants, and arranges refreshments and equipment as needed. May prepare and distribute meeting minutes.</li><li>
Maintains office supplies and equipment.</li><li>
Screens calls and receives and directs visitors.</li><li>
Handles basic, noncomplex inquiries.</li><li>
May advise on basic policy and processes as assigned by supervisor</li><li>

Certification/Skills:
Basic knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required.
Minimum Education:
High School diploma or equivalent required.
Minimum Experience:
One (1) year related work experience required. May substitute required experience with equivalent years of education beyond the minimum education requirement.
Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Key Responsibilities</h3><ul><li>
Procure control valves, raw materials, MRO, and facility maintenance items from external suppliers, ensuring best price and delivery.</li><li>
Execute and maintain purchase orders based on ERP-driven demand (Syteline experience preferred).</li><li>
Create and manage work orders to support production flow and meet sales demand.</li><li>
Maintain accurate item master data including min/max levels, vendor details, and standard costs.</li><li>
Communicate urgent material needs and potential outages to internal stakeholders and executive leadership.</li><li>
Collaborate with logistics to optimize inbound shipments for cost and efficiency.</li><li>
Support inventory accuracy and integrity through proactive purchasing and documentation.</li><li>

Qualifications</h3><ul><li>
3&ndash;5 years of purchasing experience in a manufacturing environment.</li><li>

Advanced Excel skills including formulas, pivot tables, and data analysis.</li><li>
Familiarity with manufacturing processes and production scheduling.</li><li>
Excellent communication and organizational skills.</li><li>
