Duties and Responsibilities</b></p><p><b>
Essential Functions:</b></p><ul><li>
Coordinates training logistics, assigns training materials, training room schedules and observations.</li><li>
Assists in the designs and delivery of training programs; updates training to meet ongoing needs.</li><li>
Coordinates educational and simulation lab education sessions.</li><li>
Maintains and updates training tracking spreadsheets for all assigned training courses.</li><li>
Assists with orientation and competency programs for all staff.</li><li>
Provides administrative support of training documents in related systems and within departmental training records in accordance with standards of regulatory and accrediting agencies.</li><li>
Assign various new hire trainings as appropriate. Participates in onboarding process coordination efforts as directed.</li><li>
Assists with the assignment and tracking of educational requirements for staff advancement to higher level positions.</li><li>
Maintains confidential training records in all systems including ADP WFN, PaperVision, Lessonly, Mastercontrol, and other systems used by the Network within all required federal and state guidelines. Retains required records.</li><li>
Reviews, verifies, and uploads documentation of all appropriate licenses and certifications required of/achieved by staff.</li><li>
Performs administrative and clerical functions, copies files and other documents, faxes, composes letters and memos, prepares employee mailings and distributions.</li><li>
Assists with the preparation of reports.</li><li>
Performs other duties as assigned.</li></ul><p><b>
Education and Experience:</b></p><ul><li>
Bachelor&rsquo;s degree in business, Human Resources or related field or equivalent combination of education and/or experience required.</li><li>
A minimum of 2 to 3 years of administrative experience required.</li><li>
Excellent verbal and written communication skills, with the ability to articulate information clearly and effectively preferred.</li><li>
Advance knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint. etc.) preferred.</li></ul><p><b>

KEY JOB DUTIES</p><ul>
<li>
Builds strong client relations with barre3 clients by creating a warm and supportive environment.</li>
<li>Lead by example and support training for Studio Operations team</li>
<li>Upsell and convert new and current clients to membership by utilizing the barre3 sales process + assigned follow up</li>
<li>Independently make decisions related to high level customer service &amp; support Studio Operations team members on customer service questions.</li>
<li>Actively work towards hitting studio KPIs in partnership with the West Village Studio Manager.</li>
<li>Stays up to date with best in class customer service mentality and provides recommendations for cleaning, maintenance, sales, and client experience in order to maintain best-in-class experience.
</li><li>Execute strong communication skills and a professional presence to staff and clients</li>
<li>Maintain an organized, clean, and welcoming studio environment as stated in the daily shift checklist.</li>
<li>Works 20-25 onsite hours per week with a focus on high traffic times &amp; including a minimum of one weekend day.</li>

<ul><li>3+ years providing administrative support to leadership/principals at a design firm (preferably landscape architecture)</li><li>
Ability to multitask and meet deadlines in a busy studio environment</li><li>
Proficiency in Microsoft Suite (and Adobe Creative Suite, if possible)</li><li>

Answer calls forwarded by the office intern(s)</li><li>
Monitor studio email account, respond to general inquiries and forward RFPs to marketing coordinator and Managing Principal</li><li>
Provide occasional support to marketing coordinator</li><li>
Handle incoming and outgoing packages and distribute subtenant mail</li><li>
Maintain studio's cleanliness, order kitchen and office supplies, and manage minor maintenance</li><li>
Liaise with landlord and building super on building repairs</li><li>
Maintain office license, its alarm and keycards, and City Letters of authorization for business</li><li>

Properly file proposals and executed contracts for projects you're involved in</li><li>
Manage and renew professional liability insurance and miscellaneous insurance</li><li>
Coordinate notary as needed</li><li>
Provide general and administrative support to principals, including keeping track of CEUs, contact lists, and drafting large documents</li><li>
Create travel itinerary for principals</li><li>
Assist with passport and visa applications for business travel</li><li>
Provide device and computer support to principals alongside IT director</li><li>
Oversee employee calendar, including employee remote schedules and time off</li><li>
Oversee timely submission of employee timesheets and assist principals with their timesheets</li><li>
Oversee all studio job postings, coordinate applicant interviews, orientation &amp; training</li><li>
Liaise between corporate and principals on yearly, in-studio performance reviews</li><li>
Liaise with corporate Admin, HR, IT, and Accounting departments</li><li>
Coordinate with other SWA office managers as needed</li><li>
Arrange catered lunches, holiday party, Staff Lunches, and team-building events</li><li>
Manage weekly events such as Hooch, Principals Lunches, and Finance Meetings</li><li>
Oversee studio billing process, projections, monthly reports</li><li>
Maintain and renew all state licensure for principals</li><li>
Keep studio within its allotted budget and exercise fiscal discipline when necessary</li><li>
Submit all purchases made with the corporate PEX card to Accounting department</li><li>
Manage cash lockbox and submit usage to Accounting periodically</li><li>
