 Position Summary
 
 
 
 The Accounting Administrative Assistant supports the Accounting department and the VP, Head of Property Accounting by managing administrative operations that help the team function efficiently and meet key deadlines. This role is responsible for calendar coordination, meeting scheduling, departmental communication, and general administrative support.
 
 
 The position requires a highly organized, detail-oriented professional with strong communication skills and the ability to manage multiple priorities in a fast-paced environment. Acting as a liaison across internal teams and external partners, the Administrative Assistant helps facilitate day-to-day operations and supports key accounting processes.
 
 
 
 Responsibilities
 
 
 
 <ul>
 <li>
 Provide Executive level support to the VP, Head of Property Accounting and administrative support for accounting staff
 </li>
 <li>
 Coordinate between departments to resolve day-to-day administrative and operational issues
 </li>
 <li>
 Manage the VP, Head of Property Accounting&rsquo;s calendar, including prioritizing meeting requests, scheduling with internal and external contacts
 </li>

 Schedule recurring meetings for Accounts Receivable, Lease Admin, Property Accounting and Observatory Accounting

 Assist with projects and other duties as directed by the VP

 Prepare reports and distribute them as needed

 Act as contact for department, filed questions from tenants, outside vendors and other departments

 Assist with taking calls from Investors with questions as backup for Manager, Investor Services

 Manage the Retail Rent report in SharePoint, updating the report and sending weekly update to property controllers

 Work closely with external auditors whenever they are conducting an examination on tenants Gross Sales and provide all reports and support documents for the auditors as requested

 Prepare yearly Close Calendar for the accounting group and send all calendar invites to the team including other department staff

 Update the Property Master List with changes as they occur
 </li>

 Enter new vendors and process vendors changes in Yardi in a timely manner

 Distribute monthly FQM reports to the Alliance Group
 </li>

 Attend and create meeting agenda for the Property Accountants weekly meetings
 </li>

 Send FedEx mail and packages as required
 </li>

 Order office supplies for the accounting department as needed

 Record all security deposits in a timely manner for new tenants, move out accounting, replenishments and reductions for all properties

 THE ROLE
 
 
 
 The Junior Accountant, Accounts Payable will support the Accounting team with day-to-day financial operations, with a focus on accounts payable, reconciliations, and general accounting functions. This role assists with invoice processing, expense management, intercompany reconciliations, and month-end close activities while collaborating with cross-functional teams across the business.
 
 
 
 
 
 
 Primary Responsibilities
 
 
 <ul>
 <li>
 Process and post accounts payable invoices accurately and in a timely manner
 </li>
 <li>
 Prepare and post journal entries
 </li>
 <li>
 Perform inventory and vendor account reconciliations
 </li>
 <li>
 Process, approve, and reconcile employee travel and expense reports through Concur
 </li>
 <li>
 Manage vendor onboarding and maintain accurate vendor master data
 </li>
 <li>
 Execute payments including checks, ACH, and wire transfers
 </li>
 <li>
 Perform vendor statement reconciliations and resolve discrepancies
 </li>
 <li>
 Research and resolve billing and invoice inquiries with internal and external partners
 </li>
 <li>
 Support month-end close procedures through various accounting tasks
 </li>
 <li>
 Assist with year-end audit preparation and 1099 reporting
 </li>
 <li>
 Support SOX control procedures and compliance requirements
 </li>
 <li>
 Prepare periodic sustainability reports (electric and gas usage) for all U.S. locations
 </li>
 <li>
 Provide administrative support and assist with ad hoc accounting projects as needed
 </li>
 <li>
 Proactively identify issues and contribute to problem-solving across accounting processes
 </li>
 </ul>
 
 
 
 
 
 THE IDEAL CANDIDATE
 
 
 <ul>
 <li>
 Associate&rsquo;s or Bachelor&rsquo;s degree in Accounting or a related field preferred
 </li>
 <li>
 1&ndash;2 years of accounting or accounts payable experience
 </li>
 <li>
 Strong attention to detail with solid organizational and time management skills
 </li>
 <li>
 Exposure to ERP systems; SAP Business One experience preferred
 </li>
 <li>
 Proficiency in Microsoft Excel and Microsoft Teams
 </li>
 <li>
 Understanding of basic accounting principles and financial processes
 </li>
 <li>
 Ability to communicate effectively and collaborate cross-functionally
 </li>
 <li>
 Demonstrates initiative, accountability, and a solutions-oriented mindset
 </li>
 <li>
 Comfortable managing multiple priorities in a fast-paced environment
 </li>
 <li>
 Willingness to take ownership and support the broader Accounting team as needed
 </li>
 <li>
 Experience with payment processing (ACH/wires) and vendor management is a plus
 </li>
