<div><p><b>Summary</b><b>:</b> The Contact Center Specialist will serve as the gateway to appointment scheduling and telephone access to primary care, dental, health and other services provided by Heartland Health Centers. The individual in this position will support the mission, vision, and values of Heartland Health Centers, and will comply with all relevant policies, procedures, guidelines, and all other regulatory standards. Individual accountabilities and adherence to call center metrics will be established through the development of annual Success Objectives, within the framework outlined below.</p><p><b>
Essential Duties and Responsibilities:</b></p><p>
Healthcare</p><ul><li>
Handle incoming patient inquiries in a timely manner utilizing proper workflows and protocols.</li><li>
Capture and update pertinent patient information (demographics, insurance etc.) and input into EMR.</li><li>
Handle sensitive medical information by adhering to HIPAA guidelines.</li><li>
Educate patients on patient responsibilities, services, sliding fee scale, health center site information and any requirements for scheduling or appointment changes.</li><li>
Assists in coordination of interpretation services for patients as needed.</li><li>
Assess and Identify calls that may need triaging to Nurse, Provider or Manager.</li><li>
Assist patients with medical concerns and inquiries for medical, dental, behavioral health etc. this includes scheduling, data capture, triaging, registering and or routing calls to the appropriate sites or departments.</li><li>
Maintain a good understanding of the interworking&rsquo;s of HHC.</li><li>
Provide essential support to the clinical and integrated sites.</li><li>
Maintains a strong familiarity of insurance plans, sliding fee schedules for medical and dental.</li></ul><p>
Contact Center</p><ul><li>
Performs Call Center agent functions, politely and promptly answers and accurately directs incoming calls from patients, community organizations, healthcare organizations, and other external parties.</li><li>
Maintains established individual call center metric goals relative to Average Handle Time (AHT), Average Speed of Answer (ASA) and team goals pertinent to Call Abandonment (ABN) Service Level expectations. Utilize Phone and Call Center technology to perform daily tasks and maintain contact center quality standards and goals.</li><li>
Utilize call handling and customer service techniques (AIDET) to deliver quality service to our patients.</li><li>
Performs moderate to high volume of data entry.</li><li>

</b></h1>The Customer Care Specialist will be responsible for maintaining reactive and proactive contact with customers to improve customer satisfaction and cash collections. During incoming calls, the Specialist supports the field staff and customers with the resolution of questions and issues. They are responsible for add-on sales, saves, retention, collections, and contract renewals and will work on moderately complex assignments where some judgment and initiative are required in resolving problems and making recommendations. Pitch and Proposal Specialist</b></p><p>
Under the direction of the Senior Pitch and Proposal Manager and in close coordination with the Director of Client Intelligence, the Pitch and Proposal Specialist (Specialist) supports the firm&rsquo;s business development and growth initiatives by contributing to the development of timely, high-quality and competitive pitches and proposals. This role works closely with attorneys and members of the Business Development and Practice Support teams to develop customized client-facing materials, including pitch books and presentations, responses to requests for proposals (RFPs), highly targeted pitch documents, and representative matter lists.</p><p>
The Specialist also supports experience management and client intelligence efforts by maintaining accurate matter data, drafting compelling experience descriptions, and assisting in the preparation of research and reporting related to prospective and existing clients. The position requires strong writing and organizational skills, attention to detail, sound judgment, and the ability to manage multiple deadlines in a fast-paced environment while maintaining strict confidentiality.</p><p>

Pitch and Proposal Support</p><ul><li><p>
Support the development of pitches and proposals from intake through submission.</p></li><li><p>
Assist in preparing responses to RFPs, RFQs, RFIs, and client compliance surveys.</p></li><li><p>
Draft and edit proposal content, including executive summaries, cover letters, tailored capability descriptions, standardized responses and attorney biographies.</p></li><li><p>
Prepare customized pitch books and qualification statements in Word, PowerPoint and digital formats.</p></li><li><p>
Serve as project manager for assigned pitches and proposals, developing timelines, tracking deliverables, proactively following up with contributors, and ensuring on-time, complete submissions.</p></li><li><p>
Ensure adherence to brand standards and document quality across client-facing materials.</p></li><li><p>
Track active proposals and update status information in the firm&rsquo;s project management system.</p></li><li><p>
Coordinate production and formatting of materials, including electronic and print deliverables.</p></li><li><p>
Coordinate the design and production of specialty pitch materials with the Creative Services team.</p></li><li><p>
Maintain and update proposal content libraries, including standardized RFP responses and archived pitch materials.</p></li><li><p>

Prepare and lead the monthly reporting process summarizing pitch and proposal activity, outcomes, and related metrics.</p></li><li><p>

Experience Management</p><ul><li><p>
Collaborate with the Senior Marketing Technology &amp; Experience Specialist to support the capture, maintenance, and accuracy of the firm&rsquo;s experience data.</p></li><li><p>
Draft and revise clear, compelling matter descriptions for use in proposals and other client-facing materials.</p></li><li><p>
Work with attorneys and Practice Support team members to gather and verify matter information.</p></li><li><p>
Support maintenance of client permissions lists and outside general counsel requirements.</p></li><li><p>
Enter and update proposal content within firm systems, coordinating with the Senior Marketing Technology &amp; Experience Specialist to ensure accuracy and consistency.</p></li></ul><p>
Client Intelligence</p><ul><li><p>
Conduct research on prospective clients and contacts to support pitches, proposals, and business development initiatives.</p></li><li><p>
Prepare client intelligence summaries and background materials for attorneys and Marketing &amp; Business Development team members in advance of meetings and pursuits.</p></li><li><p>
Generate and distribute ERM/CRM reports, including client relationship data and contact information, to support business development efforts.</p></li><li><p>
Support additional marketing and business development initiatives as assigned by the Director of Client Intelligence.</p></li><li><p>
Serve as project manager for the bi-monthly internal business development newsletter, coordinating content collection, managing production timelines, and overseeing distribution to support internal education.</p></li></ul></div></div></div><p><b>
Knowledge, Skills and Abilities</b></p><ul><li><div>
Bachelor&rsquo;s degree in Marketing, Communications, Business, or a related field required; three to five years of marketing and/or business development experience, ideally within a legal or professional services firm.</div></li><li><p>
Demonstrated experience supporting and drafting responses to RFPs and other competitive proposals.</p></li><li><div>
Strong writing, editing, and proofreading skills, with the ability to synthesize complex information into clear, client-focused messaging.</div></li><li><p>
Strong project management skills and ability to drive multiple concurrent workstreams to meet firm deadlines.</p></li><li><p>
Ability to analyze proposal requirements and identify required content and contributors.</p></li><li><div>
Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint); experience working with ERM/CRM and content management systems preferred.</div></li><li><p>

In our Chicago office, the annualized salary range for this position is $80,000 to $100,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.</p><p>
