Job Summary: The Storekeeper / Procurement Assistant is responsible for supporting procurement processes and ensuring effective store management of medicines, medical supplies, equipment, and general items. The position ensures timely availability of stock, proper documentation, inventory control, and compliance with procurement and storage procedures to support uninterrupted hospital operations.

Aga Khan Health Service, Pakistan, is looking for a competent Storekeeper / Procurement Assistant based at RHC Shagram, Upper-Chitral in Chitral Region.
Key Responsibilities:

A. Store and Inventory Management
<ul>
<li>Receive, check, and record all incoming items including medicines, medical supplies, equipment, and general store items.</li>
<li>Verify quantity, quality, batch number, and expiry date of received items against purchase orders and delivery notes.</li>
<li>Ensure proper storage of items according to required conditions (temperature, safety, and category-wise arrangement).</li>
<li>Maintain updated stock registers/bin cards for all items.</li>
<li>Conduct regular physical stock counts and reconcile with stock records.</li>
<li>Ensure FIFO/FEFO method for issuing items (especially medicines and consumables).</li>
<li>Maintain minimum stock levels and ensure timely reporting of stock-out risks.</li>
</ul>
B. Issuance and Distribution of Supplies
<ul>
<li>Issue medicines and supplies to departments based on approved requisitions.</li>
<li>Maintain issue vouchers and obtain signatures of receiving staff.</li>
<li>Ensure proper distribution of supplies to OPD, wards, OT, laboratory, pharmacy, and other units.</li>
<li>Maintain proper record of returned, damaged, or expired items.</li>
</ul>
C. Procurement Support
<ul>
<li>Assist in procurement activities including preparation of purchase requests and quotations.</li>
<li>Collect quotations from vendors as per procurement policy.</li>
<li>Support preparation of comparative statements and procurement documentation.</li>
<li>Coordinate with suppliers for timely delivery of goods and services.</li>
<li>Assist in follow-up of pending purchase orders and delivery schedules.</li>
</ul>
D. Stock Reporting and Documentation

<li>Maintain all store-related documentation including GRNs (Goods Received Notes), delivery challans, purchase orders, and invoices.</li>
<li>Prepare monthly consumption reports and stock status reports.</li>
<li>Maintain records of damaged, expired, and obsolete stock and report to supervisor.</li>
<li>Support audits by providing updated stock and procurement records.</li>
</ul>
E. Storage Safety and Security
<ul>
<li>Ensure store cleanliness, organization, and safe storage practices.</li>
<li>Ensure secure storage of high-value items and controlled medicines (where applicable).</li>
<li>Prevent pilferage, damage, and unauthorized access to store.</li>
<li>Ensure fire safety and proper storage of chemicals and hazardous items.</li>
</ul>
F. Disposal and Expiry Management
<ul>
<li>Regularly monitor expiry dates and ensure timely use or replacement.</li>
<li>Maintain records of expired or unusable stock and coordinate disposal according to hospital and regulatory procedures.</li>
<li>Support condemnation committee processes when required.</li>
</ul>
G. Coordination and Support to Hospital Operations
<ul>
<li>Coordinate with pharmacy, laboratory, OT, wards, and administration for supply needs.</li>
<li>Support emergency procurement during urgent situations.</li>
<li>Participate in hospital meetings related to supply chain and logistics.</li>
<li>Perform any other duties assigned by supervisor related to store and procurement functions.</li>
</ul>
H. Key Performance Indicators (KPIs)
<ul>
<li>Availability of essential supplies and reduced stock-outs.</li>
<li>Accuracy of stock records and timely reconciliation.</li>
<li>Timely procurement processing and follow-up with vendors.</li>
<li>Proper storage conditions and compliance with FEFO/FIFO.</li>
<li>Quality of documentation and readiness for audits.</li>
<li>Reduction in expired, damaged, or lost items.</li>

Qualifications &amp; Experience:
<ul>
<li>Diploma in Supply Chain, Pharmacy, Diploma in procurement/store management will be an advantage.</li>
<li>Minimum 1&ndash;3 years of relevant experience in storekeeping/procurement, preferably in healthcare setting.</li>
<li>Experience in inventory software and MS Excel preferred.</li>
