Key Responsibilities

BRIEF POSITION SUMMARY</h2>
Performs routine (journey-level) staff services work. Performs work in several staff services functions pertaining to a variety of personnel and administrative duties relating to human resources, purchasing, records management, and accounting/bookkeeping. ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES</h2><ul><li>
Coordinates and performs work in several staff services functions.</li><li>
Performs general office duties such as ordering supplies, performing basic bookkeeping work, and assisting with state employee human resource management tasks.</li><li>
Develops, and maintains filing, record-keeping, and records management systems.</li><li>
Coordinates the preparation, editing, and distribution of correspondence, reports, forms, and documents.</li><li>
Provides assistance answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff.</li><li>
Sets up equipment for employee use to include telecommunications and/or information technology needs; ensures proper installation of cables, operating systems, or appropriate software; and troubleshoots or resolves computer-related issues.</li><li>
Provides technical assistance and/or customer service support to staff regarding user inquiries related to computer software, hardware operation and the use and interface of systems and software applications relating to program.</li><li>
Maintains administrative, bookkeeping, personnel, and daily data communications records.</li><li>
Acts as the Integrated Engineering Management System (iEMS) Administrator to facilitate effective management of resources through the work planning, scheduling, tracking, and execution required to support facility requirements, utility utilization and major construction</li><li>
Assists in the review and recommendation of the procurement and inventory of equipment, materials, and supplies to include information technology hardware and/or software.</li><li>
May manage and maintain schedules and travel arrangements for leadership.</li><li>

MINIMUM QUALIFICATIONS
EDUCATION<ul><li>
Graduation from an accredited four-year college or university is required (substitution allowed).</li></ul>
PREFERRED EDUCATION:<ul><li>
Graduation from an accredited four-year college or university with major coursework in human resources management, public administration, business administration or a related field is preferred.</li></ul>
EXPERIENCE:<ul><li>
One (1) year of experience in office management, human resources administration, staff support, program management and/or fiscal management activities is required.</li><li>
Experience using Microsoft Office Suite applications is required.</li></ul>
SUBSTITUTION:<ul><li>
Additional years of work experience in office management, business administration, staff support, and fiscal management activities may substitute for required education on a year per year basis up to four years.</li></ul>
PREFERRED EXPERIENCE<ul><li>
Experience with records management to include developing and maintaining files, is preferred.</li><li>
Experience in Defense Travel System (DTS) for travel coordination</li><li>
Experience in Air National Guard Reserve Order Writing System (AROWS)</li><li>

Background Investigation. Selected candidate must pass federal security background investigation. The process includes a National Agency Check and Inquiry (NACI) and fingerprinting. New employees must complete and sign the Office of Personnel Management (OPM) Form SF85. Completed forms are submitted to the OPM for the background investigations.</li><li>

PHYSICAL/WORKING CONDITIONS</h2>
Work is typically performed in a sedentary office setting. When inside, incumbent is exposed to normal office temperatures and noise. Work typically involves standing, walking, and working for extended periods of time. This position may periodically require the ability to lift, carry, move, and/or set up equipment and materials that weigh up to 25 pounds.
