Job Summary:
Raytheon Doha is seeking a Senior Administrator/Office Coordinator reporting to the Managing Director. This is a hybrid role that bridges office management responsibilities, cross functional administrative tasks and Executive support. The role&rsquo;s primary responsibility is to oversee the smooth and efficient operation of the office, ensuring administrative processes, systems and resources support organizational goals. The role provides high-level administrative and operational support, manages office services and supplies, coordinates communications and logistics, and ensures compliance with company policies and standards.
Acting as a central point of contact for staff, management, program and external partners, the Senior Administrator fosters a professional, organized, and productive work environment. This position requires strong coordination skills, the ability to work cross-functionally, and a proactive approach to keeping the office operating efficiently, safely, and cost-effectively. In addition this position deals with Export Control information during day-to-day activities while support coordination across programs.
Responsibilities:
Cross Functional Coordination:<ul><li>
Coordinates across major programs to track actions, optimize cadence of meetings for the leadership team across Qatar and other international locations to include external stakeholders.</li><li>
Streamlines reporting of functional inputs to Managing Director.</li><li>
Develop tracking tools to ensure timely follow-up and closure of Raytheon Doha level taskings.</li><li>
Serve as the central point for coordinating cross-functional and inter-program efforts.</li><li>
Monitors items beyond suspense or due dates and escalate issues when necessary. Synchronized priorities and deadlines across multiple teams, facilitating timely and effective completion of organizational goals.</li><li>
Coordinates with Requirement &amp; Capabilities, HR Ops, Finance, Global Trade, Operations &amp; Supply Chain, Digital Technology teams with Qatar and functions and program team leaders within United States.</li><li>
Coordinates Quarterly reviews with Finance, Monthly Operations Reviews with Leadership Team and Weekly schedule cadence to include weekly and monthly report inputs to Raytheon SBUs.</li><li>
Track deadlines and ensure organizational processes are followed, maintaining accurate records and supporting leadership with timely insights into employee readiness and status.</li><li>
Coordinates and plans with Security, Requirements &amp; Capabilities and Managing Director for RTX &amp; Raytheon Senior Leadership engagements within Qatar.</li></ul>
Office Management:<ul><li>
Manages the office needs and space.</li><li>
Will have a responsibility to supervise sub-contractors and coordinate office visitors.</li><li>
Managing the Visitor Management System.</li><li>
Supports and manages office maintenance requirements.</li><li>
Responsible for routine office supplies budget and creating necessary processes to ensure office orders are compliant with RTX standards.</li></ul>
Travel &amp; Expense Coordination:<ul><li>
Plan and manage domestic and international travel, including compliance with export/import requirements.</li><li>
Prepare, review, and reconcile expense reports accurately, ensuring timely submission and adherence to organizational and program policies.</li></ul>
Qualifications You Must Have:<ul><li>
A University Degree or equivalent experience and minimum two years prior relevant experience, or An Advanced Degree in a related field.</li><li>
Ability to obtain and maintain a Raytheon-issued work authorization and any required local permits in Qatar.</li><li>
Able to access to ITAR and EAR controlled technical data.</li><li>
Must possess a valid Qatar Residence, Driving License and transportation.</li><li>
Analytical Skills: Strong analytical skills with experience in data analysis and process improvement.</li><li>
Communication: Excellent communication and interpersonal skills, with the ability to work effectively with suppliers and internal stakeholders.</li><li>
Detail-oriented: Highly detail-oriented with strong organizational skills and the ability to manage multiple tasks simultaneously.</li><li>
