The Assistant Manager supports the Property Manager in the day-to-day operations of the community, ensuring compliance with HUD and other regulatory agency requirements, maintaining accurate records, and providing excellent customer service to residents and applicants.
Schedule: Monday-Friday 8am-5pm
Pay Details: $29-32hr
Essential Duties and Responsibilities:
Leasing &amp; Marketing<ul><li>
Assist with leasing efforts, including showing apartments, processing applications, and preparing lease paperwork.</li><li>
Ensure all leasing activities comply with HUD, Fair Housing, and company policies.</li><li>
Maintain waiting lists in accordance with HUD regulations and property policies.</li><li>
Conduct applicant interviews and verifications to determine program eligibility (e.g., income, assets, citizenship, student status).</li><li>
Assist with move-in and move-out inspections and related documentation.</li></ul>
HUD &amp; Regulatory Compliance<ul><li>
Maintain compliance with HUD, NSPIRE/REAC, MOR, and Fair Housing requirements.</li><li>
Process and verify certifications and recertifications (Annuals, Interims, Move-Ins, Move-Outs) using TRACS and EIV systems.</li><li>
Submit and track HUD 50059 forms and ensure all resident files are current and accurate.</li><li>
Respond to MOR and HUD file audit findings with corrective actions and supporting documentation.</li><li>
Keep abreast of HUD handbook updates (4350.3) and other compliance requirements.</li></ul>
Rent Collection &amp; Financial Administration<ul><li>
Collect and record rent payments and other charges; issue receipts and maintain accurate ledgers.</li><li>
Post payments and charges in the property management software ( RealPage).</li><li>
Monitor delinquency reports and assist with issuing late notices or initiating eviction procedures when necessary. Placing delinquency notes in Onesite</li><li>
Assist the Property Manager with rent adjustments and subsidy billing.</li></ul>
Resident Relations<ul><li>
Provide courteous and professional service to residents, vendors, and guests.</li><li>
Address resident concerns promptly and escalate issues to the Property Manager when necessary.</li><li>
Assist with resident retention efforts, newsletters, and community events.</li><li>
Help enforce community policies and lease terms.</li></ul>
Administration &amp; Office Operations<ul><li>
Maintain organized resident and property files in compliance with HUD file order and company policy.</li><li>
Prepare correspondence, reports, and forms as needed.</li><li>
Support the Property Manager with monthly, quarterly, and annual reporting requirements.</li><li>
Assist in supervising office operations in the Property Manager&rsquo;s absence.</li><li>
Maintain inventory of office supplies and equipment.</li></ul>
Maintenance Coordination<ul><li>
Enter and track maintenance work orders; follow up on completion and resident satisfaction.</li><li>
Schedule inspections (annual unit inspections, housekeeping, REAC prep).</li></ul><ul><li>
Minimum 2 years of experience in multifamily housing, with at least 1 year in affordable/HUD housing.</li><li>
Working knowledge of HUD 4350.3 Handbook, TRACS, and EIV</li><li>
Proficient in property management software (Yardi, RealPage, or similar)</li><li>
Strong attention to detail, organizational skills, and customer service orientation</li><li>
Certified Occupancy Specialist (COS), TCS, or equivalent certification preferred.</li><li>
Successful completion of background check.</li><li>
Must be legally qualified to work in the U.S. meeting I-9 guidelines</li></ul>
