Position Summary 
 
As a legal administrative assistant supporting the attorneys and investigators in the Attorney and Consumer Assistance Program (&ldquo;ACAP&rdquo;), the intake unit of the Office of the Bar Counsel, you will work in a fast-paced, but collegial, mission-driven work environment. You will work closely with the ACAP Director to develop workflows that allow you to efficiently process and document the high volume of telephone calls and written correspondence alleging attorney misconduct that ACAP receives each year. Based upon the initial intake information obtained and researched by you, the ACAP Director will assign complaints to experienced attorneys and investigators who form the ACAP team, and you will provide administrative support to them as needed. The Legal Administrative Assistant will create, update, and maintain critical electronic records, and interface with other departments as needed. The position reports to the Director and to the Administrative Assistant Supervisor on administrative matters such as training, coverage schedules, and time-off. 
 
Essential Job Functions*<ul><li>
Assists ACAP Director in ensuring established workflows are followed and aids ACAP team in meeting deadlines. Processes and dockets incoming telephone calls and correspondence, as well as outgoing correspondence, using document management system.</li><li>
Using document management system, researches complainants&rsquo; and attorneys&rsquo; prior contacts with the office, their registration status and their disciplinary history.</li><li>

Location Specific Language

 CGS is seeking one (1) Legal Support Specialist to assist with administrative and legal tasks for a large Federal agency located in Boston, MA

 Job Duties:
 
 
 
 <ul>
 <li>
 Provide all clerical services required to perform the tasks related to the support of the USAO by providing a variety of direct assistance to Assistant U.S. Attorneys, paralegals, legal assistants, and other USAO personnel
 </li>
 <li>
 Complete litigation support projects in accordance with case team specifications, industry standards, and applicable deadlines
 </li>
 <li>
 Maintain inventory and track litigation support equipment (e.g., external optical media readers and duplicators; specialized scanners; large format printers; etc.). Maintain litigation support equipment in good working order
 </li>
 <li>
 Maintain accurate and current records regarding incoming electronic case materials, adhering to office tracking protocols, such as by completing standardized inventory or tracking forms
 </li>
 <li>
 When requested, organizes, and prepares hard copy documents for scanning. Scans hard copy documents making appropriate determinations about equipment, unitization, resolution, and format
 </li>
 <li>
 Reviews files and corrects any omissions in records. Checks all closed files to ensure the proper procedures have been followed and the closing process is complete

 Ability to learn legal terminology

 Ability to learn litigation and court proceedings
 </li>

 Provide word processing and data entry/retrieval
 </li>

 Ability to review and analyze data and information from multiple sources

 Ability to establish case/project files
 </li>
 <li>
 Ability to enter and retrieve data from databases
 </li>
 <li>
 Ability to manipulate, transfer, compute and print information
 </li>
 <li>
 Ability to prepare and correct reports and correspondence using word processing software

 Answer inquiries regarding case-related information as maintained in the database
 </li>
 <li>
 Answer inquiries regarding case-related status
 </li>

 Obtain additional information from other agencies/organizations
 </li>
 <li>
 Maintain internal status information on the disposition of designated information, files, and assets
 </li>
 <li>
 Assure information is accurate and perform analytical computations necessary to process data

 Provide administrative information and assistance concerning case or file to other agencies or organizations
 </li>

 Must have resided in the United States for at least 3 out of the last 5 years
