70% - Lien &amp; Bond Administration - Deadline Management: Diligently track and manage statutory deadlines for Preliminary Notices (NTOs), Notices of Intent, and Mechanics&rsquo; Liens across multiple states. Job Verification: Conduct thorough research to verify key project information, including identification of the correct Property Owner, General Contractor, and Surety Bond details, prior to initiating shipments. Document Execution: Accurately prepare and submit Preliminary Notices, Lien Waivers (both Conditional and Unconditional), and Bond Claims in full compliance with state-specific legal requirements. Risk Escalation: Identify and escalate &quot;at-risk&quot; projects where lien rights are approaching expiration, and work collaboratively with the Credit Manager to assess the necessity of filing a lien.  Accountants One has a repeat client who is looking for an Accounts Payable Specialist. The Accounts Payable Specialist, who must be detail-oriented, is responsible for proficiency in processing invoices, reconciling accounts, and ensuring timely and accurate payments to vendors. This client is located downtown and is 100% in the office. They want someone who can grow with their career. A staff Accountant with heavy a/p would be the perfect fit.
 
 
 
 
 
 Responsibilities:
 
 <ul>
 <li>
 Maintain the master vendor file, including flagging of independent contractors and Client Security Fund recipients required to receive a Form 1099.
 </li>
 <li>
 Respond to vendor inquiries and ensure vendors are paid on time.
 </li>
 <li>
 Receive through the Outlook Accounts Payable email invoices and expense reimbursement reports for payment processing.
 </li>
 <li>
 Verify the invoice is valid, W9 included, and not a duplicate, and confirm the general ledger account code is correct.
 </li>
 <li>
 Input invoice data and attach the invoice and correspondence necessary to the Sage Intacct Purchasing module to systematically route the invoice for payment approval.
 </li>
 <li>
 Print the approved invoice checks for mailing to the vendor or returning to the department.
 </li>
 <li>
 Review vendor statements, clarify questionable invoice items and prices, etc., with the vendor.
 </li>
 <li>
 Identify and implement improvements in the accounts payable process for efficiency.
 </li>
 <li>
 Prepare and complete the filing of IRS forms annually: 1099-MISC
 </li>
 <li>
 Assist with the preparation of documentation associated with annual audits
 </li>
 <li>
 Assist the Chief Financial Officer with special projects as assigned
 </li>
 <li>
 Perform other duties as assigned.
 </li>
 <li>
 Communicate professionally, including verbal and written communication with other departments, collaborating on tasks, members, volunteers, and vendor inquiries.
 </li>
 <li>
 Attention to detail to prioritize, process payments, and superior time management.
 </li>
 <li>
 Familiar with accounts payable processes, including verifying the accuracy of invoices, processing payments, and reconciling.
 </li>
 <li>
 Ability to perform multiple tasks while ensuring a seamless flow of financial transactions.
 </li>
 <li>
 Ensure that all recurring invoices are posted accurately.
 </li>
 <li>
 Must be reliable and able to work independently and discreetly, along with working as part of a team.
 </li>
 <li>
 Work regularly within the agreed-upon office hours for 7.5 hours a day
 </li>
 <li>
 Employee is subject to supervision and will be expected to perform his/her job
 </li>
 <li>
 Limit personal phone calls during work hours to only essential matters
 </li>
 <li>
 Comply with the policies manual.
 </li>

 Requirements:

 Microsoft Office, Immediate Excel and Word knowledge

 Preferred Knowledge of Certify travel and expense management software, preferably Knowledge of Sales Tax Education
 </li>

 A bachelor&rsquo;s degree in accounting, finance, or business administration is preferable.
 </li>
 <li>
 A minimum of three years of accounts payable work experience can be considered as a substitute for the bachelor&rsquo;s degree.

Title: Closing Specialist, Title Insurance 
 
Location: Remote, anywhere in USA 
 
The Closing Specialist will coordinate all phases of loan closing. This role will prepare loan closing packages, communicate with all parties involved in the transaction, and ensure that all paperwork is complete, accurate, and in compliance with legal regulations. 
 
As a dynamic and resourceful professional, we will rely on you to perform the following duties:<ul><li>
Prepare and review closing statement.<ul><li>
Add all fees required to clear title and record documents.
</li><li>Obtain all final payoffs for utility, HOA, and taxes, and other items (Purchase Closings).</li><li>
Collaborate with internal teams, clients, lenders, and other parties to gather required information.
</li></ul></li><li>Balance closing statement with all parties to the transaction.</li><li>
Coordinate and schedule closing with all parties, to include lender and agents.<ul><li>
Review and organize all necessary closing documents, ensuring accuracy. Collaborate with internal teams, clients, lenders, and other parties to gather required information and documents.</li><li>
Ensure that all necessary parties will be present.</li><li>
Deliver closing package to assigned notary/signing agent.</li><li>
Complete pre-closing call with assigned notary/signing agent to provide all details of closing to include any lender specific requirements for closing.</li><li>
Follow for signed closing package and confirmation of closing.
</li></ul></li><li>Serve as a primary point of contact for clients, real estate agents, lenders, and other parties involved in the closing process. Communicate effectively to address inquiries and provide updates as applicable and requested.
</li><li>Review signed closing package and deliver to all applicable parties required to review and provide approval for funding and disbursement.
<ul><li>Work closely with the Post Close for any items needed to record documents.</li></ul></li><li>
Responsible for accurate disbursement.</li><li>
Review closing statement to ensure file is balanced.<ul><li>
Identify how all line items will be disbursed. (i.e., Check, wire)</li><li>
Ensure all invoices are received and available for disbursement.</li><li>
Confirm all payees and addresses are accurate.</li><li>
Work closely with funding team.</li></ul></li><li>
Ensure compliance with all state and federal regulations while maintaining an up-to-date knowledge of changing real estate laws and regulations.</li><li>
Identify and resolve any challenges or obstacles that may arise during the closing process.</li><li>
Perform other duties as assigned by management.</li></ul> 
Minimum Education &amp; Experience Requirements:<ul><li>
Associate&rsquo;s degree in related field or equivalent work experience.</li><li>
4+ years of industry experience.</li><li>
RamQuest Closing operations system knowledge preferred.
</li><li>High-level of ethical conduct and integrity when handling sensitive financial and legal information.</li><li>
Ability to read and interpret documents such as underwriting guideline matrix, lender&rsquo;s instructions, trust agreements, and purchase contracts.</li><li>
Excellent communication and presentation skills with the ability to communicate effectively with various stakeholders and audiences.</li><li>
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.</li><li>
Ability to work under pressure, prioritize, and multitask in a fast-paced environment.</li><li>
High-level of attention to detail, accuracy, and quality.</li>
Proficiency in MS Office Suite.
