Position Description
The Executive Assistant and Board Liaison provides administrative support to the President and CEO of the Library Foundation of Los Angeles and serves as the primary point of contact to the LFLA Board of Directors. This role drives efficiency and organization for the President and CEO&rsquo;s office. As a liaison to our nearly 40 high-profile Board members, this individual will plan and execute multiple hybrid and in-person meetings on a quarterly basis. You will work in a hybrid capacity, mirroring the President&rsquo;s schedule that is typically at least 3 days/week onsite at the downtown LA office and 2 days or fewer remotely.
 A successful candidate will be able to identify and solve problems independently, displaying a high degree of initiative and a proactive mindset. This is an ideal role for an experienced and highly competent professional who is passionate about nonprofit management and serving the Los Angeles community. You will work at the highest level of the organization, contributing your administrative excellence and board liaison expertise while gaining insight into all departments and functions overseen by the President and CEO. 
Responsibilities
Executive and Administrative Support<ul><li>
Manage administrative tasks for the President and CEO, including complex calendar management, meeting coordination, expense reporting, and document organization.</li><li>
Prepare meeting materials in advance, including agendas, briefing notes, and background research for meetings with staff, Board members, donors, and external stakeholders.</li><li>
Draft and manage executive correspondence on behalf of the President; serve as a liaison to internal departments and external partners as appropriate.</li><li>
Assist with planning and execution of virtual and in-person meetings and events, including fundraising and donor engagements.</li></ul>
Board and Governance Support (Board Liaison)<ul><li>
Prepare and manage official Board and Committee correspondence; serve as a primary point of contact for Board-related matters.</li><li>
Coordinate Board and Committee meetings, including agenda development, material collection, OnBoard board book creation, and accurate meeting minutes.</li><li>

Requirements:
<ul><li>Minimum of 8&ndash;10 years of experience supporting a CEO or senior executive, preferably in a nonprofit, government, or mission-driven organization.</li><li>
Demonstrated experience managing complex, dynamic calendars and competing priorities with minimal supervision.</li><li>
Exceptional executive-level writing, editing, and communication skills.</li><li>

HVAC Replacement with Ultra-High Efficient Units is the most recent endeavor initiated by Budderfly to save energy on our customers' sites. Ensuring that these HVAC units are properly maintained and retain the most efficient control parameters is vital to the success of this Replacement program. This role is a key player among the impactful team which is tasked with ensuring that these units continue to operate at the utmost efficiency.

Responsibilities:
<ul>
<li>Ensuring continued excellent operation of Budderfly HVAC Units within your geographic area. This includes maintaining and repairing heating, ventilation, air conditioning and refrigeration (HVAC/R) systems and equipment.</li>
<li>Identifying maintenance risks on HVAC/R equipment.</li>
<li>Diagnosing electrical and mechanical faults for HVAC/R systems.</li>
<li>Completing commissioning checks of HVAC Units to ensure continued, efficient operation. This includes checking and correcting of HVAC RTU controller configurations in addition to the mechanical operation of the units.</li>
<li>Providing physical maintenance to Budderfly HVAC Units. This includes, but is not limited to changing filters, cleaning coils, inspecting/replacing belts, and inspecting units for other mechanical failures.</li>
<li>Responding to Emergency Service Calls on nights and weekends (when on-call)</li>
<li>Cleaning, adjusting, and repairing systems, and performing warranty services.</li>
<li>Performing emergency repairs promptly and efficiently.</li>
<li>Keeping daily logs and records of all functions in Company work order system.</li>
<li>Ensuring compliance with applicable State and Federal standards and with the Occupational Health and Safety Act.</li>
<li>Complying with service standards, work instructions and customers' requirements.</li>
<li>Assisting with customers' queries.</li>
</ul>
Desired Skills and Experience:
<ul>
<li>HVAC Controls experience. Familiarity with Lennox Core Controllers and Carrier SystemVu controllers is a benefit.</li>
<li>New Technical School graduate.</li>
<li>Ability to recognize control and mechanical issues prior to the issue(s) compounding.</li>
<li>Enjoys continuous learning, as supported by your organization, both technically and professionally.</li>
