 Anticipate and forecast potential scheduling needs, including calendaring time to ensure the CIO&rsquo;s schedule reflects the short-, medium- and long-term priorities of the organization.

 Coordinate and book CIO&rsquo;s travel, including confirming travel itineraries within Concur and creating and documenting travel plans and confirming day-of travel details.

 Coordinate daily with external vendors to ensure seamless travel.

 Correspond and coordinate with the CIO so both parties are well-informed of commitments and changes to the CIO&rsquo;s schedule and manage revisions or cancellations and rescheduling as needed, including providing daily and weekly digests to communicate commitments and itineraries.

 Collaborate with the CIO to review and improve scheduling and coordination processes, adapting practices as needed to meet the needs of the CIO and external audiences.

 Correspond with people requesting meetings in ways that communicate respect, care, and discretion to ensure CIO&rsquo;s time is strategically aligned with the organization&rsquo;s priorities.

 Communicate last-minute cancellations or changes to others, as needed.

 Coordinate with other members of the team to respectfully hand-off meeting requests where appropriate; and

 Travel, as needed, to support the CIO for key meetings and events.

 Ensure smooth logistical coordination for meetings by reserving and setting up virtual or physical meeting space; coordinating and booking travel; sending invitations, agendas and materials to appropriate people; and compiling advanced background material.

 Receive and direct visitors for meetings involving the CIO.

 Coordinate with the Office Management team about rooms, food, and early or late set up; and

 Serve as the desk&rsquo;s point of contact for all office coordination, including, placing supply orders, coordinating group lunches and liaising with back office on invoice processing, third party vendor billing, research subscription renewals and shareholder proxy coordination.

 Events and Conference Management

 Sort through and identify relevant sell-side events and conferences
 </li>
 <li>
 Stay up to date on company, industry and regulatory conferences and events of relevance to the portfolio

 Precise event record-keeping (updating the team on any changes)
 </li>

 Requesting and coordinating meetings and calls with sell-side sales coverage

 </ul>
 
 Calendar Management/Team Coordination

 <li>
 Meticulous maintenance of team Outlook calendar (heavy meeting scheduling)
 </li>
 <li>
 Tracking company earnings, shareholder meetings and analyst calls relevant to the portfolio (ensure the team is aware ahead of time) Coordinating domestic/International travel logistics

 Maintain team databases and document archives, monthly investor meeting data, new deal folders and shareholder materials library

 Work with and build relationships with outside consultants

 Flag important emails (both for the investment team and Portfolio Manager)

 Ensure the team and Portfolio Manager are aware of calendar items in a timely manner

 Qualifications
 
 
 
 The ideal candidate for this multi-faceted hybrid research/ ECM role is a detail-oriented self-starter with adaptability to changing priorities/tasks. Possesses interest and enthusiasm for learning about the financial markets and industry trends
 
 
 <ul>
 <li>
 Strong interpersonal and communication skills&mdash;strong aptitude for building and maintaining relationships
 </li>
 <li>
 High attention to detail and a proactive approach to problem-solving (acute ability to anticipate needs/problems before they arise) multi-tasking skills
 </li>
 <li>
 Proven experience as a coordinator or similar administrative role
 </li>
 <li>
 Ability to work effectively in a fast-paced and dynamic environment
 </li>
 <li>
 Proficiency in Microsoft Office applications and other relevant software
 </li>
 <li>
 Bachelor&rsquo;s degree in business, finance or other related fields is a plus

 Salary offers are based on a wide range of factors including relevant skills, training, experience, and education. Market and organizational factors are also considered.
