Greets and establishes first contact with patients. Confirms and updates patient demographics and verifies insurance as necessary to ensure that patients have appropriate insurance for physician they are seeing. Responsibilities may include provides secretarial and clinical support to Physicians &amp; Surgeons in a faculty practice setting.
<ul><li>This position will require consistent rotation in various Faculty Practices; flexibility is a must.</li></ul>

Must be able to adapt quickly to a growing and changing environment. 
Responsibilities
1. Greet patients either in person or via telephone, enter and update their insurance/demographics in the practice management system.

2. Verifies patients insurance coverage prior to patients appointment and advised patient of any insurance referrals or authorizations needed. Prior to patients arrival or at minimum at time of arrival before visit.

3. Communicate with appropriate staff regarding patients arrival, and ensure that patients medical record is available for physician.

4. Process/update HIPAA-related paperwork and other institutional forms as necessary.

5. Collect or retrieve referrals or insurance authorizations for procedures and tests ordered by attending physician.

6. Review status of waiting room on a routine basis and ensure that patients are kept advised of wait times.

7. May enter orders into the electronic medical record (EMR) system or prepare prescription refill requests on behalf of the physician for the review and approval by the ordering physician.

8. Ensures that patient has paid co-pay or collects co-pay under direction of billing staff, providing patient with receipt following established cash-control processes.

9. May schedule surgeries/procedures or work in conjunction with Surgical Coordinator verifying times with patients; preparing charts, pre-admissions and consent forms as necessary.

10. May schedule patient for follow-up appointment as needed. Provide patient with guidelines for requesting medical records, if necessary.

11. May perform simple charge entry tasks or enter payments collected from patients and prepare Cashiers deposit. Note: duties are mutually exclusive and may not be performed by the same employee.

12. Answer phones for practice and schedule appointments, Take detailed clinical phone messages for physician or advanced allied healthcare provider.

13. Follow all HIPAA and any other governmental or state agency requirements regarding the appropriate handling of PHI documents.

14. May initiate reminder phones calls for next day appointments. Help direct patient flow during practice hours.

15. Performs other related duties

Job Summary:
The Lead Practice Coordinator is responsible for the oversight of the front office daily activities for their assigned practice group locations, ensuring quality customer service to in-person and remote patients and clinicians.

Duties/Responsibilities:
Operational Excellence:<ul><li>
Create a positive work environment; be a culture carrier and support in-office clinician and staff engagement activities to promote LFST culture, engagement, and connection.</li><li>
Conduct schedule preparation process for all patients to ensure paperwork and documentation is complete, credit card on file is current, demographics are accurate, and chart is prepared.</li><li>
General office duties to ensure the practice is running smoothly and prepared for patients and clinicians.
</li><li>Monitor Practice Group phone queue operational monitoring to ensure resources are aligned across the group to manage demand of incoming calls, while balancing other duties</li><li>
Coordinate efforts across Practice Coordinators to ensure KPI achievement.</li><li>
Lead the implementation of new processes at the practice level as they are rolled out by the Practice Group Manager or Clinical Director.</li><li>
Fill in gaps for front office staff vacancies as needed to ensure availability of resources to our patients and clinicians.</li></ul>
Patient Support:<ul><li>
Provide exceptional customer service, responding quickly and appropriately to patient needs, and being prepared to manage potentially difficult or sensitive situations by following Crisis and De-escalation Processes.</li><li>
Manage front desk responsibilities including greeting and checking patients in/out in a courteous manner.</li><li>
Provide support across Practice Group to patients with requests via phone, email, and/or portal with payment/billing related questions, scheduling needs, release requests, etc.</li><li>
Manage any urgent requests; triage patient issues and resolution, i.e., direct to correct departments or escalate for assistance.</li><li>
Collect all in-person and telehealth co-payments and account balances at the time of service.</li><li>
Complete insurance eligibility verification, reach out to patients to resolve issues as needed.</li></ul>
Clinician Support:<ul><li>
Provide general clinician support &ndash; assist clinicians with administrative questions and/or duties such as sending letters, faxes, etc.</li><li>
Coordinate with clinicians pertaining to any additional patient questions.</li><li>
Support clinician schedules by auditing for appointment accuracy.</li></ul>
Practice Coordinator Support:<ul><li>
Troubleshoot workflow issues and implement workable solutions for Practice Coordinators.
</li><li>Lead onboarding and on-the-job training for new Practice Coordinators joining the organization.</li><li>
Ensure front office coverage across the Practice Group.</li><li>
Fill in for any practice coordinator vacancies as needed.</li><li>
Maintain a pleasant, secure, and motivational working environment.</li></ul>
Required Skills/Abilities:<ul><li>
