Summary:
 
The RUSH Access Center Specialist I manages all clinical and non-clinical calls and performs clinic activities including routine and advanced scheduling, basic triage, message taking, and referral management. The RUSH Access Center Specialist I collaborates with Access Center team members and practice staff to meet overall access, revenue cycle and scheduling objectives while exceeding customers&rsquo; expectations. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Responsibilities:
 
1. Answers all telephone calls within your work assignment as designated by your leadership with the goals of accurately scheduling patients as determined by departmental and Epic guidelines.
 
2. Evaluates non-scheduling related patient inquiries including clinical related calls; routes and escalates all inquiries following departmental and epic clinical guidelines inclusive of warm transfers to RN triage and/or to clinics.
 
3. Assesses the caller&rsquo;s need and responds with critical judgment and ensures the appropriate resolution for the inquiry or issue. Understands when to escalate calls to nurse, and/or RUSH Access Center leadership.
 
4. Responsible for leveraging Salesforce and Genesys platforms to optimize patient interactions and workflow efficiency. Ensures accurate documentation, routing, and resolution of patient inquiries through integrated systems.
 
5. Proactively monitor areas of concern or uncertainty relating to the practices and suggest possible resolutions around access Epic build issues.
 
6. Exhibits strong understanding of specialized RUSH Access Center processes including but not limited to questionnaires, subgroups, auto search, pre-registration, message templates, radiology workflows, and referral capture and insurance plan networks.
 
7. Adheres to service specialized workflows for multiple specialty departments. Follows protocols built in Epic and documented practices scheduling requirements.
 
8. Responsible for accurately documenting appointment information and notifying the patient of information critical to their visit.
 
9. Drives and supports the RUSH revenue cycle by minimizing potential financial risk of patient accounts through patient insurance registration activities. This includes but is not limited to discussing the patient&rsquo;s financial responsibility for their upcoming visit, outstanding balances, and referral requirements based on Rush contracts.
 
10. Effectively completes point of service collections over the phone using secure payment processing systems via multiple payment options, such as credit/debit cards and/or payment plans.
 
11. Maintains a high level of understanding and acts as a patient resource for physician and ancillary service offerings, navigating the Rush campus, payment categories, and the billing procedures of Rush University.
 
12. Exhibits sensitivity to patient health information and protects confidentiality. Always maintains privacy for patient and employee information.
 
13. Enhances the reputation of the RUSH Access Center by fostering ownership and personal responsibility for exceeding patient service expectations through accountability for actions and decisions setting a positive example to peers, coworkers, departments and patients.

This team serves a population at high risk of opioid overdose and involvement in the justice system. With your team, you will do outreach at shelters or on the street at community events to distribute and educate clients on naloxone, the opioid overdose reversal medication. You will also make direct referrals to a wide variety of services, including substance use or mental health treatment. After a client has been engaged in services, you will remove barriers to housing, employment, and mental healthcare through case management. You will help clients solidify their recovery and strengthen daily living skills as you drive them to doctors&rsquo; appointments, to benefits offices, or to the grocery store. Each day will be a little bit different, requiring you to adapt to your client&rsquo;s schedule, needs, and treatment plan.

Administration<ul><li>Process semi-monthly payroll for all full-time, part-time, and grant-funded employees in compliance with Illinois Wage Payment and Collection Act requirements.</li><li>Calculate and remit payroll taxes (federal, state, and local), and prepare and file quarterly Form 941 and annual W-2 and W-3 forms.</li><li>Maintain accurate payroll records, including time and attendance documentation, wage allocations across multiple funding sources, and benefit deductions.</li><li>Coordinate payroll corrections, adjustments, and W-2c amendments as needed.</li><li>Ensure proper FICA calculations and compliance with IRS payroll regulations.</li></ul>Accounts Payable &amp; Bill Management<ul><li>Manage all accounts payable functions, including receiving, reviewing, coding, and processing vendor invoices for payment.</li><li>Ensure bills are paid accurately and on time; maintain a bill payment calendar to prevent late payments or lapses in service.</li><li>Code all expenditures to the appropriate program, grant fund, and GL account.</li><li>Maintain organized vendor files and documentation to support audit and compliance reviews.</li><li>Obtain required approvals prior to payment processing in accordance with organizational policies.</li></ul>Grant Fund Accounting &amp; Compliance<ul><li>Maintain separate and distinct accounting records for each grant fund to ensure financial segregation and accountability.</li><li>Track grant expenditures against approved budgets by line item and funding period, providing regular variance reports to the CFO/CDO.</li><li>Prepare and support the compilation of Program Financial Reports (PFRs), budget modification requests, and reimbursement draw requests in compliance with funder requirements (including ICJIA and other federal and state grantors).</li><li>Ensure expenditures meet grant-specific allowability, allocability, and reasonableness standards under 2 CFR 200 (Uniform Guidance) and applicable grant terms and conditions.</li><li>Alert leadership to potential compliance concerns, unallowable expenditures, or budget variances in a timely manner.</li><li>Support preparation for grant audits and monitoring site visits; maintain organized grant files.</li></ul>Financial Statements &amp; Reporting<ul><li>Prepare and update standard nonprofit financial statements, including the Statement of Financial Position (Balance Sheet), Statement of Activities (Income Statement), and Statement of Cash Flows.</li><li>Generate budget-to-actual reports, fund-level expenditure reports, and other financial summaries for management and board review.</li><li>Assist the CFO/CDO in preparing the annual Form 990 and supporting schedules.</li><li>Prepare supporting documentation and schedules for external auditors; participate in the annual audit process.</li></ul>Additional Duties<ul><li>Maintain well-organized financial files and records in both physical and digital formats.</li><li>Assist with updating and maintaining the organizational Chart of Accounts.</li><li>Support budget development and forecasting as needed.</li><li>Participate in internal financial process improvement initiatives.</li><li>Perform other duties as assigned by the CFO/CDO or Executive Director.</li></ul>Minimum Qualifications<ul><li>Associate's degree in Accounting, Finance, Business Administration, or a related field required; Bachelor's degree preferred.</li><li>Minimum of 3 years of bookkeeping or accounting experience, with at least 1 year in a nonprofit or grant-funded environment strongly preferred.</li><li>Demonstrated proficiency in QuickBooks (Desktop or Online) or comparable accounting software.</li><li>Working knowledge of GAAP and nonprofit fund accounting principles.</li><li>Experience processing multi-employee payroll and filing federal/state payroll tax forms (941, W-2, W-3).</li><li>Familiarity with federal Uniform Guidance (2 CFR 200) and grant compliance requirements preferred.</li><li>Proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and financial formulas.</li><li>Exceptional attention to detail, organizational skills, and commitment to accuracy.</li><li>Ability to handle confidential financial information with discretion and integrity.</li><li>Strong written and verbal communication skills;
