In the capacity as Administrator, position is responsible for the administration for all Watches sales in New York and supporting Watches sales in Geneva, Hong Kong, and London. In this capacity, the position will act as a liaison on behalf of the Watches department for both internal and external clients with a focus on handling consignment contracts, shipping, accounting for property inventory and supporting issues surrounding client account settlement. This role is also required to work in partnership with a Senior Administrator and Shipping Coordinator, and directly with the Head of Sale, Watches to manage and organize all day-to-day activities, and work on specific administrative, financial, or logistical tasks as required. 


The Administrator will also support the production of the New York Watches catalogues, assisting the Specialists as needed in research, ordering extracts, liaising with the photography studio and watchmakers, and administering after sales efforts including invoicing clients and shipping watches. 


In the capacity of Executive Assistant, this position will work directly with the Deputy Chairman, Head of Watches Americas, based in New York, with dotted line to the Head of Sale, Watches, Americas, to coordinate and support a range of administrative, financial, and logistical responsibilities to ensure a smooth running of the office and client transactions in the Americas. 


This role is tailored toward a candidate who has a strong interest in learning about Watches and the auction market, and already has a background in administrative duties and client-facing experience, with the ultimate goal of growing their career within the Watches Department for Phillips. DUTIES AND RESPONSIBILITIES 
Sale Coordination

<li>Issue client contracts for upcoming sales and after sales and record data using internal systems as required.</li>

<li>Organize and coordinate sale activities including client views, condition report dispatch, and bidding registrations.</li>

Inventory Management &amp; Shipping

Department Management

Executive Assistant

</li></ul>The estimated base salary range for this position is $95,000-$125,000 per year. This range reflects a good-faith estimate of the base salary Ventas reasonably expects to pay at the time of posting. Actual base pay will be determined based on work location, skills, qualifications, relevant experience, and business needs.
In addition to base salary, this role is eligible for discretionary incentive compensation and a comprehensive benefits package, which includes medical, dental, vision, retirement savings, paid time off, and other wellness benefits under applicable plan terms.

 In joining Dragonfly, you&rsquo;ll be directly supporting one of our General Partners, Rob Hadick, as an Executive Assistant, as well as managing a beautiful office space in the heart of New York City. Rob, who&rsquo;s well-known in the space, has a relaxed demeanor and is excited to collaborate while affording you ownership. You may also provide back-up support for another one of our General Partners, Tom Schmidt. You&rsquo;ll also interface directly with many of the biggest crypto companies and token projects, world-renowned PE and VC investors, and founders of large public tech and finance companies.
 
 
 You should be comfortable with flexible and entrepreneurial work environments, love interacting with people just as much as you love driving projects, and be looking to deepen your career in high-level executive and operational support.
 
 
 
 Functional Responsibilities
 
 
 
 <ul>
 <li>
 Support one of Dragonfly&rsquo;s General Partners, Rob Hadick, as an Executive Assistant, including managing calendars, developing/booking meetings and itineraries, and managing expenses for the Investment Team
 </li>
 <li>
 Drive management of Dragonfly&rsquo;s new New York City office, including coordinating with vendors (e.g., snacks, IT, cleaners, security, etc), greeting visitors, and managing office and equipment inventory
 </li>
 <li>
 Manage occasional events (both local and abroad): venue selection, vendor management, and on-site coordination
 </li>
 <li>
 Special projects as needed (e.g., researching and pulling together policies, managing filing, helping choose appropriate software)
 
 
 </li>
 </ul>
 
 Requirements
 
 
 
 <ul>
 <li>
 2-5+ years experience as an Executive Assistant
 </li>
 <li>
 Based in NYC and able to work in-office Mon-Thurs; occasional evening hours required; comfortable navigating local restaurants, venues, and services
 </li>
 <li>
 Exceptional communication, interpersonal, pattern recognition, and project management skills, with equally exceptional work ethic
 </li>
 <li>
 Strong judgment when dealing with senior founders, LPs, and executives
 </li>
 <li>
 Self-accountability and the ability to work autonomously in a fast-moving environment; and own, fix, and learn from failures
 </li>
 <li>
 &ldquo;No task too big or too small&rdquo; attitude
