 The Opportunity
 
 
 
 We are seeking a
 
 Administrative Support Manager
 
 to join our Firm. This position will be based in our New York office (hybrid). This position will manage all aspects of the Administrative Support team including department administration, recruiting, staff oversight, training and employee development, performance management, and general process and departmental improvement in the NY office.

 Manages the daily operations of the Administrative Support department including department projects, day-to-day operations and long-range plans.

 Monitors time, attendance, overtime, expense reports, and absence requests to ensure accuracy and compliance with Firm policies.

 Coordinates daily workflow, oversees workloads, and monitors utilization.

 Manages and addresses staffing requests and assignments efficiently.

 Ensures accurate and timely responses to requests for departmental services.

 Provides ongoing coaching and guidance to business services professionals to implement continuous quality improvements and/or enhancements to department operating efficiency.

 Participates in the recruitment, interviewing, and selection process for Executive Assistants and Administrative Project Coordinators, ensuring the highest standards of talent acquisition.

 <li>
 Consults regularly with the department&rsquo;s Assistant Director and other managers in the creation and implementation of team programs and initiatives, as well as regarding the status of employees&rsquo; work performance and broader departmental updates.
 </li>
 <li>
 Collaborates with peer managers in the Administrative Support Department, Paralegal Services and Operations Group Management teams, to increase departmental efficiency, strengthen employee knowledge, and abilities, improve leadership and maintain high level service support to attorneys and clients.
 </li>
 <li>
 Partners with other members of the Administrative Support management team to design, coordinate, and deliver training programs tailored to the experience and development needs of the Administrative Support business services professionals.
 </li>
 <li>
 Ensures current knowledge of Firm policies and practices, current knowledge of industry trends and continued professional development for business services professionals.
 </li>
 <li>
 Engages in strategic (i.e., long-range) planning by developing departmental goals and supporting objectives for assigned department.
 </li>
 <li>
 Serves as active member of management by recommending new or revised policies, procedures and/or practices that promote efficiency, effectiveness, excellent customer services and excellent management and employee relations. Suggests new programs and/or activities, which reflect best practices or current trends in legal administration.

 Effectively utilizes the Firm's performance management process to communicate performance expectations, monitor performance, coach employees, and manage unsatisfactory performance.

 Oversees employees' work performance and provides guidance in the resolution of problems.

 Initiates disciplinary procedures in collaboration with the Human Resources Department.

Account Coordinator &ndash; JLL
What this job involves: Join JLL as an Account Coordinator where you'll serve as the operational backbone for our senior executive team. In this dynamic role, you'll blend administrative excellence with project coordination, ensuring seamless daily operations across multiple priorities and time zones. You'll be the trusted partner who keeps executives organized, clients satisfied, and deliverables on track. This position offers the opportunity to work directly with leadership, gain exposure to high-level client interactions, and contribute to strategic initiatives while developing valuable skills in a fast-paced commercial real estate environment. If you thrive on anticipating needs, solving problems proactively, and delivering exceptional service, this role will position you at the center of meaningful business operations.
What your day-to-day will look like:<ul><li>
Manage complex executive calendars, coordinate meetings across global time zones, and arrange comprehensive travel logistics while preparing detailed briefing materials for client engagements and stakeholder meetings.</li><li>
Serve as project manager for special initiatives from concept through implementation, maintaining project files, budgets, production schedules, and process documentation while ensuring timely completion of deliverables.</li><li>
Plan and execute high-impact events including leadership team meetings, executive retreats, and client-facing functions, negotiating vendor contracts and managing logistics end-to-end.</li><li>
Prepare polished communication materials such as presentations, newsletters, and announcements, ensuring brand consistency, accuracy, and professional quality across all deliverables.</li><li>
Process expense reports regularly, reconcile credit card charges accurately, and perform essential office functions including shipping, document management, and meeting room coordination.</li><li>
Build and maintain strong relationships with clients and account vendors, proactively addressing stakeholder needs and sourcing new vendor partnerships when required.</li><li>
Document executive meeting minutes and action items with discretion, managing confidential information while identifying opportunities to streamline administrative processes and improve efficiency.</li></ul>
Required Qualifications:<ul><li>
Bachelor's degree or equivalent relevant professional experience demonstrating comparable knowledge and capability.</li><li>
Minimum 2 years of progressive experience in an administrative support or coordination role, preferably supporting senior-level executives.</li><li>
Advanced proficiency in Microsoft Office suite including SharePoint, Outlook, Word, PowerPoint, Excel, and Teams.</li><li>
Demonstrated ability to manage multiple priorities simultaneously with exceptional attention to detail and organizational skills.</li><li>
Strong written and verbal communication skills with the ability to interact professionally and confidently with stakeholders at all organizational levels.</li></ul>
Preferred Qualifications:<ul><li>
Background or experience in commercial real estate, facilities management, or project management environments.</li><li>
Proven track record of planning and executing events or strategic meetings involving multiple stakeholders.</li><li>

Work Shift:The position will follow a hybrid schedule&mdash;three days per week in the office and two days working from home. The standard work hours are Monday through Friday, 8:30 a.m. to 5:00 p.m.
Salary: $85000 to $100,000.00
