Essential Job Functions

Position Summary</h1>
Accounting Specialist will perform a variety of tasks related to the maintenance/processing of payroll for multiple jobs. When not assigned to a specific job, perform various duties and special projects in the Accounting Department.<h1 class="jobSectionHeader">
Key Responsibilities</h1><ul><li>
Process employee date changes (hires, terminations, updates, earnings/deductions) into payroll systems.</li><li>
Verify employee documentation for accuracy and completeness.</li><li>
Manage and reconcile Time &amp; Attendance data between systems.</li><li>
Allocate labor, time, and equipment in tracking systems and maintain related logs.</li><li>
Prepare and update daily jobsite reports, including manpower and foreman reports.</li><li>
Generate and distribute payroll and operational reports as needed.</li><li>
Prepare weekly labor and equipment timesheets for client approval.</li><li>
Support Accounts Payable with invoice entry, statement review, and issue resolution.</li><li>
Resolve payroll discrepancies at jobsite and escalate unresolved issues to the Payroll Lead.</li><li>
Cross-train team members and perform additional administrative, payroll, or accounting tasks as assigned.</li></ul><h1 class="jobSectionHeader">
Qualifications
</h1>Education
<ul><li>High School Diploma or Equivalent (Required)</li><li>
Associate degree or equivalent combination of technical training and/or related experience (Preferred)</li><li>
Valid state-issued driver's license (Required)</li></ul>
Experience<ul><li>
1-3 years of experience in accounting or payroll (Required)</li><li>
Experience in refinery and petrochemical construction environment (Preferred)</li><li>
Prior work involving payroll, accounts payable, and accounting functions (Preferred)</li><li>
Prior work experience using TRACK (Preferred)</li><li>
Ability to solve practical problems and deal with a variety of sometimes stressful situations (Required)</li></ul>
Skills &amp; Competencies<ul><li>
Proficiency in Microsoft Office Suite, particularly Excel</li><li>
Strong attention to detail with the ability to review work for accuracy, organization, and compliance with policies and procedures</li><li>
Excellent analytical and problem-solving skills</li><li>
Strong communication skills to effectively interact with clients and internal staff</li><li>
Knowledge of basic accounting principles and practices</li><li>
Experience with relevant billing software and systems such as Viewpoint, TRACK, CDMS, SAP, and Coupa is a plus</li></ul>

Position Overview
This is a hands-on accounting role ideal for a detail-oriented professional with experience in accounts payable, invoice processing, job costing, and WIP reporting. You'll work directly with project managers and senior finance staff to keep billing activity current, reduce aged work-in-progress (WIP), and ensure the accuracy of financial records across a fast-paced, global energy services environment.
Key Responsibilities<ul><li>
Job setup and closeout: Open new jobs upon receipt of all required documentation from approved requestors; close completed jobs after verifying all costs are captured and invoices issued</li><li>
Invoice and credit memo processing: Generate and submit accurate invoices and credit memos upon job completion in a timely manner</li><li>
WIP management: Produce weekly WIP Aging reports and distribute to project managers for review ahead of branch manager WIP meetings, helping to reduce aged WIP balances</li><li>
Accounts payable support: Enter vendor invoices by matching against PO receivers or applying correct GL coding; submit batches for Senior AP Specialist approval</li><li>
Receipt entry: Record miscellaneous receipts as needed</li><li>
AP filing: Maintain an organized accounts payable filing system</li><li>
Spreadsheet management: Build and maintain Excel spreadsheets to support reporting and analysis</li><li>
Month-end close: Assist with reconciliations and related financial reporting at month-end</li><li>
Compliance: Adhere to Sparrows Offshore's Quality Policy, Quality System Manual, and all Safety and Environmental requirements</li><li>
General support: Assist with additional accounting and administrative projects as assigned</li></ul> 
Required Qualifications<ul><li>
Minimum 2 years of experience in an accounting, accounts payable, or finance support role</li><li>
High school diploma or equivalent required</li><li>
Proficiency in Microsoft Office, with strong Microsoft Excel skills</li><li>
Strong attention to detail and commitment to accuracy</li><li>
Clear written and verbal communication skills</li><li>
Ability to manage multiple priorities and meet deadlines in a team environment</li></ul>
