   Develop and manage marketing materials for property listings, including proposals, offering memorandums, flyers, and research reports.
  </li>
  <li>
   Execute targeted email &amp; mail campaigns and maintain contact databases for property promotions and branding initiatives.
  </li>
  <li>
   Support the lead agent and team with administrative tasks such as transaction coordination, pipeline documentation, and process optimization.
  </li>
  <li>
   Oversee deal tracking in pipeline software from proposal through closing, ensuring accurate documentation and compliance.
  </li>
  <li>
   Maintain client files and transaction records in alignment with firm and regulatory standards.
  </li>
  <li>
   Manage third-party listing platforms and route incoming leads to appropriate team members.
  </li>
  <li>
   Coordinate property signage logistics with vendors, including installation and removal.
  </li>
  <li>
   Regularly update internal databases and monitor market activity to support team insights such as On Market Deals &amp; New Listings.
  </li>
  <li>
   Assist in collecting and organizing deal documentation (LOIs, PSAs, representation agreements, addendums).
  </li>

   Contribute to team growth by supporting front-end business development and operational scalability

  </li>

   Strong project management capabilities.

We are seeking an experienced Administrative Assistant to provide comprehensive support to senior leadership and cross-functional teams. The ideal candidate will bring strong organizational skills, discretion, and the ability to manage competing priorities in a fast-paced environment.</p><p></p><p><b>
What will you do?</b></p><ul><li>
Provide direct support to junior and senior level executives within the Global Investment Banking group.</li><li>
Distribute mail and coordinate courier service as needed.</li><li>
Answer and screen telephone calls in a courteous and professional manner.</li><li>
Make domestic and international travel arrangements and handle changes as needed.</li><li>
Manage executive calendars and scheduling.</li><li>
Coordinate meeting arrangements (setting up conference calls, scheduling meeting rooms, arranging reservations, catering, etc.).</li><li>
Prepare, track and manage expense reports via expense reporting system &ndash; this is a high priority.</li><li>
Act as backup to other department staff members as needed &ndash; this is a high priority.</li><li>
Perform other duties or special projects as assigned.</li><li>
Proactively identify operational risks/ control deficiencies in the business.</li><li>
Review and comply with Firm Policies applicable to your business activities.</li><li>
Escalate operational risk loss events, control deficiencies and risks that you identify to your line manager and relevant risk and control functions promptly.</li></ul><p></p><p><b>
What do you need to succeed?</b></p><ul><li>
5-10+ years relevant/Administrative Assistant experience.</li><li>
Ability to prioritize and manage multiple tasks and projects.</li><li>
Demonstrated computer skills, with an emphasis on MS office (Word, Excel and PowerPoint), Concur and CRM Salesforce.</li><li>
Strong oral and written communication skills.</li><li>
Excellent interpersonal skills with the ability to establish and maintain strong working relationships at all organizational levels</li><li>
Good organization, follow-through, attention to detail and problem-solving skills.</li><li>
Ability to take initiative, function independently, and work in a team.</li><li>
Maintain the highest standards of professional and ethical conduct with strong oral and written communication skills.</li><li>
Ability to handle sensitive and confidential information with discretion</li><li>
Ability to work overtime as needed.</li><li>
