Position Summary

The Division of General Medicine/Hospitalist Program seeks a highly motivated and detail-oriented Administrative Coordinator to provide comprehensive administrative support fully onsite at the Columbia University Medical Center. Reporting jointly to the Divisional Administrator and the Medical Director of the Hospitalist Program, this role supports both leaders and the broader Hospitalist office team.

The ideal candidate will possess strong organizational skills, the ability to manage multiple priorities simultaneously, and a proactive approach to problem-solving. This position plays a key role in ensuring the smooth operation of the Hospitalist Program, including managing calendars, coordinating meetings, maintaining office systems, and supporting recruitment and scheduling efforts.

The Administrative Coordinator will also be a member of the division&rsquo;s core administrative team, collaborating with colleagues in People &amp; Culture, IT, and Procurement to support division-wide initiatives such as events and communications.

Responsibilities
<ul>
<li>Serve as the primary liaison between the divisional administrative team and the Hospitalist group.</li>
<li>Provide administrative support to over 35 physicians and 75 physician assistants at Milstein Hospital.</li>
<li>Manage physician scheduling, maintain the Medical Director&rsquo;s calendar, coordinate meetings, and support working groups and social events.</li>
<li>Facilitate recruitment efforts, including preparing interview itineraries and escorting candidates.</li>
<li>Oversee the Hospital Medicine administrative office, including responding to external inquiries, submitting facilities requests, and maintaining office supplies and organization.</li>
<li>Administer the Hospitalist moonlighting program, including scheduling and monthly payroll submissions.</li>
<li>Support clinical appointment and reappointment processes in collaboration with the Manager of People &amp; Culture.</li>
<li>Track professional practice evaluations, expirables, compliance documentation, and Medicaid recertifications.</li>
<li>Participate in weekly core administrative team meetings and assist with division-wide events such as grand rounds, retreats, and holiday gatherings.</li>
<li>Perform additional duties as assigned by the Divisional Administrator and Medical Director.</li>

Minimum Qualifications
<ul>
<li>Bachelor&rsquo;s degree or equivalent combination of education and experience.</li>
<li>Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams).</li>

Responsibilities

1.Researches, locates and compiles information for reports. Assembles and categorizes figures for computation and calculations. Prepares statistical reports

6.Checks materials submitted for supervisors attention to ensure all relevant data, authorizations and pertinent information are included.

7.Ensures adequate restock of supplies for department. Takes inventory or examines merchandise to identify items to be reordered or replenished. Requisitions merchandise from supplier and collaborates with Purchasing to secure the best pricing for equipment and supplies. Tracks expiration of vendors contracts and renews as needed.

8.Serves as a liaison with other departments or external parties to as necessary to accomplish objectives and or complete projects or assignments.

9.May participate in the completion of grant applications, special projects and JCAHO and other survey preparations.

10.May make travel arrangements and accommodations. Prepares travel reimbursements and expense reports.

11.May screen and prioritize incoming mail for needed action and follow up. Responds to mail where appropriate or distributes mail requiring attention to appropriate individual(s).

12.May screen telephone calls, answer inquiries or direct caller to the appropriate individual for further information and/or resolution.

13.May screen and schedule patient appointments, schedule referrals of special testing or doctors visits, and keep record of patient billing for submission.

Administrative Assistant

<div>Description
The Administrative Assistant II is an experienced administrative support person who provides a wide variety of administrative support services including budget preparation and control activities, preparation and control of records, statistics and reports regarding operations and personnel matters. She/he may serve as administrative liaison with others related to purchasing, human resources, facilities and operations. 
Responsibilities<ul><li>
Researches, locates and compiles information for reports. Assembles and categorizes figures for computation and calculations. Prepares statistical reports</li><li>
Prepares and monitors budgets and grant allocations, and maintains accruals. Prepares documents required to maintain balanced accounts for review and approval.</li><li>
Maintains departmental employee files, and ensures compliance with regulatory standards. Initiates and follows through on human resources and payroll transactions. Generates weekly payroll submission. Maintains liaison with human resources and payroll to coordinate and resolve issues and problems</li><li>
Assists in the planning and logistical arrangements for forums, conferences, seminars, meetings and/or visiting professorships. Assist in the development and coordination of informational packets for participants. Transcribes and distributes minutes.</li><li>
Investigates, evaluates and resolves typical administrative or operational problems or situations affecting the work unit.</li><li>
Checks materials submitted for supervisors attention to ensure all relevant data, authorizations and pertinent information are included.</li><li>
Ensures adequate restock of supplies for department. Takes inventory or examines merchandise to identify items to be reordered or replenished. Requisitions merchandise from supplier and collaborates with Purchasing to secure the best pricing for equipment and supplies. Tracks expiration of vendors contracts and renews as needed.</li><li>
Serves as a liaison with other departments or external parties to as necessary to accomplish objectives and or complete projects or assignments.</li><li>
May participate in the completion of grant applications, special projects and JCAHO and other survey preparations.</li><li>
May make travel arrangements and accommodations. Prepares travel reimbursements and expense reports.</li><li>
May screen and prioritize incoming mail for needed action and follow up. Responds to mail where appropriate or distributes mail requiring attention to appropriate individual(s).</li><li>
May screen telephone calls, answer inquiries or direct caller to the appropriate individual for further information and/or resolution.</li><li>
May screen and schedule patient appointments, schedule referrals of special testing or doctors visits, and keep record of patient billing for submission.</li><li>

Compensation
The Mount Sinai Health System (MSHS) provides salary ranges that comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $23 - $36 Hourly. This role will support the NFL&rsquo;s departmental leads (three Senior Vice Presidents) with a focus on daily administrative and core operational support across these core functions of the League, in order to drive efficiency and optimize the productivity of these teams and leaders.

General Administrative Support:
