What this job involves:
As an Assistant Facilities Manager at JLL, you'll be an essential member of the facilities management team supporting a prestigious client portfolio in midtown Manhattan and the surrounding region. This role places you at the center of service delivery, where you'll partner with the Facilities Manager and the Client Corporate Real Estate team to ensure seamless day-to-day operations and exceptional client satisfaction. At JLL, we are collectively shaping a brighter way, and you'll do exactly that by managing cleaning operations, responding to service requests, coordinating contractors and vendors, and overseeing small-scale office conversion projects. You'll implement cost-saving initiatives, conduct quality inspections, support budgeting activities, and ensure all work is completed within established service level agreements. What your day-to-day will look like:<ul><li>Manage day cleaners and night supplemental cleaning services across the NYC area, including inventory control, ordering and distribution of supplies, contract management, SLA oversight, invoicing, and purchase orders</li><li>Serve as the primary respondent for all service tickets submitted by clients and internal teams, ensuring timely acknowledgment and completion within management agreement SLAs</li><li>Coordinate with in-house and external resources including property managers, contractors, capital project teams, and engineers to schedule work, collect certificates of insurance, manage vendor personnel access, and secure required method of procedures documentation</li><li>Manage small projects such as office conversions from single to dual occupancy, conference room transformations, pantry upgrades, and other space modifications</li><li>Conduct daily quality control inspections across facilities, generating work orders to immediately address identified issues and maintain operational excellence</li><li>Support and implement innovative programs, processes, and procedures that reduce operating costs and increase productivity in partnership with the Facility Management Lead and client teams</li><li>Provide backup coverage for Facility Managers and other Assistant Facilities Managers during planned time off, working across NYC facilities for periods ranging from one to five days</li></ul>
Required qualifications:<ul><li>HS diploma or GED</li><li>Minimum of 3 years of facilities management experience in corporate environments, third-party service providers, or consulting roles</li><li>Proven ability to work effectively in a fast-paced environment under pressure while managing multiple competing priorities and urgent service requests</li><li>Strong organizational and management skills with demonstrated ability to coordinate multiple priorities simultaneously</li><li>Proficiency in MS Office and MS SharePoint, with computer proficiency in CMMS tools and work order management systems</li><li>Experience with purchase order creation, proposal requests, invoice review, and vendor management during normal and off-hours including weekends</li></ul><h2 class="jobSectionHeader">

 Dispatches outgoing communications. Answers central phone line, responding to and resolving/escalating inquiries.

 Processes invoices for payment in adherence with documented processes and guidelines and vendor agreements.

 Liaises with internal business units and external vendors and participates in the local coordination and implementation of premises and building related matters including incoming/outgoing staff and contractors, relocations, office planning and new furniture requirements while ensuring minimal interruptions to business operations.

 Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

 Maintains and tracks overtime, on-call claims, staff vacations and absences in accordance with Bank and/or divisional guidelines to ensure consistency in entitlement and to determine staff availability.
 </li>

 Coordinates training requirements for staff (research, booking, cancellations, confirmations, etc.).
 </li>
 <li>
