To be successful, the individual in this role must be organized and able to balance many administrative tasks throughout the day. 
 
The Scheduling and Staffing Administrator works closely with the Store Manager, Assistant Store Managers and Human Resources to support administrative duties and allow these roles to focus on strategic and people leadership activities. 
Travel Requirements: This role does not require regular travel; however, this role may need to travel on occasion to meetings, trainings, or to support neighboring stores. 
What We're Looking For

Responsibilities 
 
Documentation 
 
<ul><li>Process licensing applications and renewals</li></ul> 
<ul><li>Maintain Risk Management Education credits and track attendance for Quality Assurance and Planning clinic meetings</li></ul> 
<ul><li>Maintain documentation to ensure compliance with institutional, state, and board certifications</li></ul> 
<ul><li>Complete general assignments and projects related to department programs</li></ul> 
<ul><li>Create agendas, attend program meetings, and prepare information for review and dissemination</li></ul> 
<ul><li>Follow up with meeting attendees to ensure completion of action items</li></ul> 
<ul><li>Prepare minutes for meetings, conferences, and program activities</li></ul> 
<ul><li>Maintain faculty CVs, biosketches, and other support documents monthly</li></ul> 

Calendar Management 
 
<ul><li>Maintain faculty and staff time off requests and clinic coverage through Kronos and Outlook</li></ul> 
<ul><li>Proactively manage faculty Outlook calendars</li></ul> 
<ul><li>Perform departmental timekeeping using Kronos</li></ul> 
<ul><li>Schedule meetings, classes, symposiums, and conferences</li></ul> 
<ul><li>Schedule seminars and workshops</li></ul> 
<ul><li>Coordinate institutional events, including announcing seminars, planning advertising, and arranging visitor travel</li></ul> 
<ul><li>Facilitate meetings as requested</li></ul> 

Department Operations 
 
<ul><li>Support administrative efforts across department locations</li></ul> 
<ul><li>Complete projects assigned by the supervisor</li></ul> 
<ul><li>Attend and complete required educational courses</li></ul> 
<ul><li>Assist Operations Managers with faculty recruiting, credentialing, and other faculty actions</li></ul> 
<ul><li>Mentor new support staff during their initial six months</li></ul> 
<ul><li>Update the faculty and department website quarterly</li></ul> 

Finance &amp; Travel 
 
<ul><li>Coordinate financial and service arrangements</li></ul> 
<ul><li>Post and track PRS fiscal expenditures and reconcile monthly</li></ul> 
<ul><li>Monitor expenses to ensure cost centers remain within budget</li></ul> 
<ul><li>Process reimbursements and travel per funding source policy</li></ul> 
<ul><li>Schedule faculty travel and visitor or candidate recruitment travel</li></ul> 

Business Development 
 
<ul><li>Assist with policy creation, training, research, and business management related to program coordination</li></ul> 
<ul><li>Perform additional duties as assigned</li></ul> 

EDUCATION 
<ul><li>
Required: High School Diploma or Equivalent</li><li>
Preferred: Associate's Degree or</li><li>

WORK EXPERIENCE

Required: 5 years Administrative/secretarial experience. or</li><li>
