WHAT YOU&rsquo;LL DO<ul><li>

The College Counseling Administrative Assistant will join a collaborative office in a fast-paced and supportive environment that consists of a full-time Director, a full-time Associate Director, and a full-time Administrative Assistant. The student population for grades 9-12 is approximately 250 girls, 100% of whom are college-bound. The College Counseling Office liaises with all constituents in the school as well as many professionals outside of the school, and the Administrative Assistant not only supports the office in all aspects of the work but also may be the school’s first point of contact with students, families, and other academic institutions.
 
Responsibilities

<li>Schedule meetings for students and families with college counselors</li>
<li>Coordinate visits with college representatives coming to Convent of the Sacred Heart and serve as the point of contact</li>
<li>Process and submit all school application materials</li>
<li>Work with students in college counseling classes and give direct instruction about aspects of the college application process</li>
<li>Conduct mock interviews with students</li>

 The Role
 
 
 
 The Hospitality Administrative Assistant supports all functions of the US Open Hospitality sales, service, and operations team to ensure sales process efficiency and effectiveness and to deliver a world-class client experience at the US Open. This includes support of US Open Hospitality premium ticket and suite packages and related operations and services for various client products. In addition, this role manages the US Open Hospitality office and its operations throughout the US Open period.
 
 
 <ul>
 <li>
 Provide support to the hospitality team in client relations, renewal, and retention
 </li>
 <li>
 Manage Hospitality premium ticket package and suite rental contracts: generation, distribution, signature tracking, and organization
 </li>
 <li>
 Liaise and integrate with the US Open Ticket Office to support the hospitality sales process within Archtics; generate invoices, manage payments, receipts, and reports
 </li>
 <li>
 Assist and support the CRM analyst and Solutions Specialist in ensuring optimal sales and operations processes within the US Open CRM (Salesforce) ecosystem
 </li>
 <li>
 Manage the contracting, purchasing, payment, and invoicing of Hospitality vendors via Conga, Concur, and Purchasing
 </li>
 <li>
 Fulfill internal hospitality requests, including for sponsors, broadcast partners, CCO, and CEO
 </li>
 <li>
 Oversee ticket fulfillment and assistance for all clients
 </li>
 <li>
 Respond and/or delegate inbound client requests and issues; assist the hospitality team with the fulfillment of special client requests
 </li>
 <li>
 Support the merchandise operation and fulfillment of suite and club clients
 </li>
 <li>
 During the US Open period, manage the hospitality office
 </li>
 <li>
 Oversee the aggregation, shipping, tracking, and delivery of all US Open Premier parking assets
 </li>
 <li>
 Develop and maintain positive hospitality client and vendor relationships
 </li>
 <li>
 Assist in on-site US Open Hospitality space buildout management and space execution, including liaising with third-party service providers operating within the space
 </li>
 <li>
 Other projects and duties as assigned by the Managing Director, Hospitality Consultant, and Hospitality Team
 
 
 </li>
 </ul>
 
 Who You Are
 
 
 
 <ul>
 <li>
 Bachelor&rsquo;s degree from an accredited college or university
 </li>
 <li>
 Experience in operating at sports team(s) or other live events required
 </li>
 <li>
 Customer-facing experience preferred
 </li>
 <li>
 Familiarity with CRM systems preferred (e.g., Salesforce)
 </li>
 <li>
 Familiarity with Ticketing systems preferred (e.g., Archtics)
 </li>
 <li>
 Proficiency with Google Suite, Excel, Powerpoint, and Adobe Suite preferred
 </li>
 <li>
 Individual must possess a strong work ethic, a positive attitude, and a professional client- facing demeanor
 </li>
 <li>
 Excellent organizational and time-management skills
 </li>
 <li>
 Exceptional written and verbal communication skills
 </li>
 <li>
 Must have capability to remain calm and focused in a high-pressure, fast-paced environment (US Open)
 </li>
 <li>
 Demonstrated ability to be a self-starter who can problem-solve and handle sensitive client matters with discretion
 </li>
 <li>
 This position is designated as "hybrid/flex" and may allow for both remote and on-site work. Any such position must meet the current USTA hybrid/flex requirements as updated from time to time. Please consult HR for the most current policy.

 The expected range for the base salary for this position is
 
 
 $50,000 - $55,000.
 
 
 
 This range does not include any additional pay or benefits for which a person may qualify. The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills, and the location from which they will be performing the job.
