 The coordinator is the engine that keeps the program's day-to-day moving. A large part of the role is organizing and actively participating in client meetings and chasing the customer for the input, validation, and sign-off the program depends on. The Program Manager owns the overall schedule; this role supports it by maintaining the detailed task tracking and technical dependency map beneath it. Because engineers and task owners will be self-reporting status, the coordinator needs a strong enough technical orientation to understand what a deliverable actually requires &mdash; so that padded estimates, glossed-over dependencies, and sandbagged timelines don't go unchallenged. The role reports into Cavalry's delivery leadership and works closely with the Program Manager, SDM, and technical specialists.
 
 KEY RESPONSIBILITIES
 
 
 <ul>

 Client Meeting Facilitation &amp; Customer Follow-Through
 
 Organize, schedule, and actively participate in client meetings &mdash; scrums, working sessions, sprint retrospectives, monthly updates, and executive syncs.
 </li>
 <li>
 Capture decisions and action items, then relentlessly chase them to closure across both client and delivery teams. This is a large part of the role.
 </li>
 <li>
 Drive input, validation, and sign-off out of the customer &mdash; politely but persistently following up with stakeholders who are slow or unresponsive until the program gets what it needs.
 </li>
 <li>
 Manage the flow of information between client network/security/PMO teams and Cavalry delivery, keeping everyone working from the same facts.

 Detailed Task &amp; Technical Dependency Tracking
 
 Support the Program Manager &mdash; who owns the overall schedule &mdash; by maintaining the detailed task tracking beneath it and keeping it accurate and current.

 Own the technical dependency map: understand what must be completed before what, and surface dependencies that task owners have overlooked or glossed over.
 </li>
 <li>
 Reconcile competing views of the same work (e.g., client EPM vs. delivery-team Planner) and resolve discrepancies rather than just reporting both.
 </li>
 <li>
 Track task-level progress against commitments and flag slips early, before they roll up into schedule impact.
 </li>

 Technical Orientation &mdash; Holding Task Owners Accountable
 
 Bring enough technical depth to follow the program's workstreams &mdash; SD-WAN, connectivity, ITSM, monitoring, firewall, and automation &mdash; and to understand what completing a given deliverable actually requires.

 Constructively challenge engineering estimates and status: recognize when a task is being padded, a dependency downplayed, or a timeline sandbagged, and press for the real picture.

 Ask informed follow-up questions so that vague or evasive status can't stand, and validate with the right SME before it reaches an executive.

 Status Reporting &amp; Executive Communications
 
 Produce clear, accurate, executive-grade status reports and contribute to executive briefing decks.

 Coordinate recurring reporting cadences (e.g., monitoring reports from SolarWinds/ThousandEyes) and ensure they land on time and on message.
 </li>

 Turn technical detail into concise, executive-ready narratives without losing accuracy.

 Governance, Change &amp; Artifact Management
 
 Run the artifact review and approval workflow end to end: submission packages, SLA tracking, sign-off gates, and DocuSign coordination.

 Coordinate change submissions (CRQ/CAB) and ensure the right requests are raised in the right form.
 </li>
 <li>
 Maintain document control and version discipline (SharePoint), so the team and client always work from the current artifact.

 REQUIRED QUALIFICATIONS

 5+ years in project coordination, project management, or PMO roles supporting technical or infrastructure programs.
 </li>
 <li>
 Demonstrated success in a consulting, professional services, MSP, or IT service provider setting &mdash; working billable and client-facing, accountable to external stakeholders. This is a firm requirement, not a nice-to-have: strong coordinators whose experience is exclusively internal/in-house are not a fit for an embedded, client-facing consulting role.
 </li>
 <li>
 Strong command of coordination tooling: MS Project and/or Planner, Excel, PowerPoint, SharePoint, and ServiceNow (or a comparable ITSM platform).
 </li>
 <li>
 A self-starter comfortable organizing and running client meetings and persistently, diplomatically chasing stakeholders for input, validation, and sign-off &mdash; someone who follows up until things close rather than waiting for responses.

Purpose</h2>
The UT GEAR UP Industry Development and Educational Success (GUIDES 2025) Site Coordinator will help GEAR UP cohort students realize their dream of post-secondary education. Working alongside middle and high school staff, Coordinators will assist students with academic and college knowledge counseling, mentoring, college admissions, financial aid, and scholarship applications. Coordinators will also plan and assist with college awareness activities at the school-level to meet UT GEAR UP GUIDES 2025 project objectives and goals.
The UT GEAR UP GUIDES 2025 Site Coordinator will be located regionally in Aldine, TX, and will provide direct support to students, families, and educators in Aldine ISD.
The position requires tact, diplomacy, and a strong commitment to service. Responsibilities
Function 1: Provide academic enrichment, informational, and motivational opportunities and interventions, including mentoring, tutoring, and advising activities (before school, during school, and after school) for GEAR UP cohort students:<ul><li>
Monitor GEAR UP cohort student grades, attendance, and transcripts to promote on-time promotion and graduation and completion of appropriate rigorous coursework;</li><li>
Assess academic and personal needs of GEAR UP students through transcript evaluations, student interviews, and school counselor recommendations;</li><li>
Collaborate with the school site team to develop and implement a service plan to meet student's specific needs and monitor the progress of high school graduation and college readiness;</li><li>

Assist each GEAR UP cohort student in interpreting correspondence from colleges, including offers of admission and financial aid.</li></ul>
Function 4: Submit in-kind match and other supporting documentation upon request to the Fiscal Analyst as per grant requirements and assist district personnel in identifying match opportunities:<ul><li>
Recruits, trains, and serves as a lead to GEAR UP cohort student and hourly employees, tutor/mentors, program assistants, college coaches, volunteers, and parent helpers; assigns work schedules of student and hourly staff and volunteers;</li><li>
