DeansList is expanding their Operations Team and is looking for a Operations (Ops) Associate to join the team in a newly created role. The Operations Associate will support cross-team collaboration at DeansList, help manage internal systems, and contribute to organization-wide planning and execution. There are lots of job experiences that we think could lead to success in this role! Some previous roles that we think would be a natural fit include - school based operations managers, experienced executive assistants, program coordinators, and office managers.
Requirements
As the Ops Associate, you'll work closely with team members across all DeansList departments. You will execute cross-team projects, spending time coordinating work streams across departments while owning the logistical and administrative tasks needed for the project&rsquo;s success. You will often have both a 10,000 foot view of projects, while also spending lots of time &ldquo;in the weeds&rdquo; making sure all of the small details are checked off.
As you grow in the position, you will work with the Operations Team to build and launch new systems to operationalize and streamline work across DeansList. You will also get the chance to assist with or own special projects, as they come up, to support the Sales and Operations teams.<ul>

Collaborate with other BAI staff to support data collection and documentation, including intern surveys, attendance, and activity logs.</li><li>
Manage data collection related to applicant tracking and program evaluation, including assignment tracking and surveys.</li><li>
Manage program attendance, assignment completion, and engagement metrics for cohort tracking and evaluation.</li><li>
Maintain accurate records for worksites, organizational partners, vendors, schools, and students; update contact lists and workplans regularly.</li><li>
Ensure consistent follow-up and documentation of activities and attendance.</li></ul>
Program Operations and Logistics<ul><li>
Lead scheduling, coordination, and day-of logistics for program meetings, trainings, orientations, and evaluations.</li><li>
Lead operational planning for key events such as interview days, orientations, graduation, site visits, cultural excursions, and final presentations, including transportation, meals, space bookings, and materials.</li><li>
Contribute to smooth intern selection and season staff/partner (mentors, vendors) hiring processes</li><li>
Other responsibilities as assigned.</li></ul>
Desired Skills and Background
Education and Experience<ul><li>
Bachelor&rsquo;s degree in arts administration, education, nonprofit management, or a related field.</li><li>
2+ years of experience with project management, preferably in arts education, adept at cross team collaboration, and passionate about youth development.</li><li>
Proficiency using project management or workflow software (e.g., Asana, Airtable, Google Workspace, MS365, Microsoft Planner, Monday.com, or Trello).</li></ul>

Location
We are currently working on a hybrid schedule. The Associate Program Manager will be asked to work 2 days per week in our office, though this schedule may shift and evolve.
Hours
As a member of the administrative staff, the Associate Program Manager is expected to work from 9 AM to 5 PM each scheduled workday. Any schedule shift request must be requested in advance and receive approval from the supervisor. Candidates must be fully available to:<ul><li>
to support programs and events outside of regular work hours, such as Saturdays and evenings.</li><li>
to travel within NYC. Travel within NYC is required as part of the core functions of the position.</li><li>
to work June through August during peak program operations.</li></ul>
