Key Responsibilities 
Administrative &amp; Operational Support: 
<ul><li>Provide comprehensive administrative support to three faculty members</li><li>Answer, screen, and triage telephone calls and relay accurate messages</li><li>Receive, sort, and distribute departmental mail, faxes, and packages</li><li>Order and restock office and lab supplies on a scheduled basis</li><li>Coordinate service calls with vendors in the absence of the Office Manager</li></ul>
Calendar &amp; Coordination: 
<ul><li>Manage complex calendars including daily, monthly, and annual scheduling</li><li>Communicate leave schedules with administration, clinics, providers, and faculty</li><li>Ensure alignment of commitments across multiple stakeholders</li></ul>
Travel &amp; Expense Management:

Research &amp; Academic Support:

Job Summary</h2>

The Executive Assistant (EA) is a trusted, high-judgment partner to the Executive leader, orchestrating time, information, and priorities to maximize business impact. This role blends world-class executive support with analytical rigor and project management discipline&mdash;building dashboards, tracking Objective and Key Results, managing cross-functional workplans, and ensuring decisions, communications, and meetings drive measurable outcomes.</div></div><div><div><h2 class="jobSectionHeader">
Essential Functions</h2>
</div><div><ul><li>Serve as a trusted partner to the Executive, anticipating needs and proactively managing priorities.</li>
<li>Triage inbound requests, ensure proper delegation, and safeguard confidentiality.</li>
<li>Own a dynamic, complex calendar; plan long-horizon priorities and travel with proactive risk-spotting.</li>
<li>Coordinate complex domestic and international travel itineraries, including planning itineraries, catering, booking flight reservations, and making hotel and transportation arrangements for Executive and identified department personnel.</li>
<li>Prepare Executive for meetings with agendas, pre-read materials, decision logs, and follow-ups documenting decisions and actions tracking to closure.</li>
<li>Draft and edit Executive communications, talking points, and updates.</li>
<li>Synthesize complex information into concise executive summaries and insights.</li>
<li>Coordinate preparation of Board, Investor, and Executive materials with high quality and accuracy.</li>
<li>Stand up and run project management routines for executive initiatives including tracking risks, interdependencies, and critical items across teams.</li>
<li>Prepares, verifies, documents, enters and reconciles such items as invoices, expense accounts, purchase cards (OnePay), etc. in accordance with corporate procedures, established budgets, and deadlines and acting as custodian of purchase card(s).</li>
<li>Creates and modifies presentations, graphics, reports, spreadsheets, graphs, tables, charts, manuals, guides and flow charts, updating data as necessary and entering variance explanations.</li>
<li>Conduct ad-hoc analyses supporting headcount, budget, vendor performance, and initiative health.</li>
<li>Serve as a liaison across leaders and external partners with high professionalism.</li>

</div><div><div><ul><li>Requires a minimum of a high school diploma or equivalent.
</li><li>Bachelor&rsquo;s degree preferred</li>

</div><div><div><ul><li>Requires at least five years of related work experience; C-suite experience strongly preferred.
</li><li>Proven experience with data analysis, reporting, and executive-level presentations preferred.
</li><li>Experience preparing Board and Investor materials and coordinating preparations for and leading executive off sites preferred.</li></ul></div></div></div></div>
