We are seeking a highly organised and proactive Administrative Assistant to join our dynamic team in New York. The ideal candidate will be a crucial part of our daily operations, providing comprehensive support to ensure the smooth and efficient running of our office. Responsibilities
* Manage and coordinate office operations and procedures to ensure organisational effectiveness and efficiency.
* Act as the first point of contact for clients and visitors, handling correspondence via phone and email with professionalism.
* Schedule and organise meetings, appointments, and company events, including managing calendars for senior staff.
* Prepare, edit, and format reports, invoices, presentations, and other documents.
* Maintain an organised filing system for both physical and digital records.
* Monitor and order office supplies, ensuring inventory is well-stocked.
* Provide administrative support for various projects, liaising with internal teams and external partners.
* Assist with basic bookkeeping tasks and the processing of expenses.
* Make travel arrangements and manage itineraries for staff as required.
Qualifications
* Proven experience in an administrative or office support role.
* Exceptional organisational and time-management skills with the ability to prioritise tasks effectively.
* Proficiency in the full Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Excellent written and verbal communication skills with a keen eye for detail.
* Strong interpersonal skills and the ability to work collaboratively within a team.
* A proactive approach to problem-solving and the ability to work independently.
* Experience within a creative agency, printing, or manufacturing environment is desirable but not essential.
