Responsibilities
EXECUTIVE RESPONSIBILITIES<ul><li>
Manage calendars. This includes accuracy in scheduling appointments, arranging and rearranging meetings, anticipating needs, setting up and scheduling meals/tasting, and setting up any necessary meeting technology.</li><li>
Assist top leadership with research projects, e.g. competitive analysis</li><li>
Process and track expenses accurately and timely</li><li>
On-call assistance including: professional errands, scheduling appointments, calendar management, coordinating travel &amp; logistics, and providing support as needed</li><li>
Assist with Board Member engagement including coordinating quarterly meetings</li><li>
Schedule PX reservations, as needed</li><li>
Ship CPG products to VIP guests, company stakeholders, etc.</li><li>
Lead development to execution of town hall and other key company communication efforts</li><li>
Support the deployment of new managers, welcome kits and other gifts to support the people team and employee engagement</li><li>
Manage interoffice communication between departments and home base regarding office events, closures and work schedules.</li><li>

Greet guests, employees and new hires</li><li>
Manage the conference and meeting spaces, ensuring that executive meeting needs are always met</li><li>

 A prestigious Billion-Dollar Global Investment Management Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support the CEO. The person in the role currently has been there a long time and is returning to non-profit. Candidate must have a minimum of 7-10+ years of applicable C-level executive administrative support experience (open to industry!) and a Bachelor&rsquo;s degree is required. Must also have experience with private aviation. Ideal candidates should be extremely polished and professional, smart, proactive, responsive, discreet/confidential, a self-starter, and possess a high IQ/EQ and excellent interpersonal and communication skills (both verbal and written). This is a great role for a traditional C-level EA or a star &ldquo;up and comer&rdquo; with applicable experience!

 Salary depends on experience (150-250k all-in comp package &ndash; base plus bonus). Great benefits, nice offices, etc.

 Hours are 8:30am-5:30pm, with flexibility/availability to work remotely after hours. Occasional weekend work may be required. Hybrid work schedule (Monday-Thursday in office, Fridays remote &ndash; but must be flexible to come in if needed on occasion.)

 Responsibilities:
 
 
 
 
 <ul>
 <li>
 Provide high-level executive administrative support to the CEO.
 </li>
 <li>
 Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; manage and maintain a busy and ever-changing calendar.
 </li>
 <li>
 Coordinate speaking engagements at conferences and events, including working with marketing and investment team to ensure CEO has proper materials and is adequately prepared.
 </li>
 <li>
 Ensure the CEO stays on schedule, including dialing him into conference calls and reminding him of meetings.
 </li>
 <li>
 Coordinate complex domestic and international travel arrangements and detailed itineraries, including commercial flights and private aviation, hotel accommodations, car services/ground transportation, visas/passports, etc.
 </li>
 <li>
 Prepare, process, and submit expense reports using Concur.
 </li>
 <li>
 Draft, type, and edit emails and correspondence on behalf of executive.
 </li>
 <li>
 Field and vet telephone calls; greet clients and guests as needed; order catering for meetings when required.
 </li>
 <li>
 Work closely with the CEO&rsquo;s Chief of Staff, personal assistant, family office and drivers.

 </ul>
 
 Required Qualifications:
